Type: Full-Time
Under limited supervision, plans, manages, and coordinates District, System, and public outreach events, for both internal
and external clients. Acts as primary meeting planner for assigned events, ensuring successful delivery and overall
participant satisfaction. Supports conference center services, activities, and events. Responsible for the effectiveness of
services, and making recommendations to better serve client and organizational needs. Addresses and resolves operational
and customer issues.
Key Responsibilities:
• Provides oversight, consultation, and coordination of logistical arrangements for event implementation by arranging meeting space, hotel, travel, catering, housekeeping, audio visual, transportation, and other related service requirements for on-site events. Arranges long and short term hotel accommodations for guests attending Bank-hosted events.
• Coordinates services for events including facilities, catering, audio visual, signage, displays, and outside vendor services. Consults with host departments and outside organizations to ensure consistency with Bank policy for events. Recommends and implements processes and procedures to ensure compliance with Bank policies and standards. Ensures event expenditures adhere to prescribed policy and budgetary guidelines.
• Independently outlines event preparation activities and develops a plan and timeline for delivery, and identifies budget and cost issues, to present to department management and event sponsor/host.
• Working in partnership with clients, develops and prepares informational documents for distribution such as invitations, reports, schedules, surveys, budgets, presentations and requests for proposals for the purpose of soliciting/evaluating prospective vendors, external/internal speakers and consultants.
• As requested, reviews and reconciles payment for services provided for event functions, contract services, hotel billings and other miscellaneous charges. Provides analytical support to host department for event budgets; researching and recommending appropriate expenditures as provided in Bank policy guidelines.
Education: Bachelor's Degree or 4 years equivalent experience
Experience: Two to Five years preferred
