As Administrator you are predominately responsible for providing support to the Program Management and Assets Management teams, housed in our Cincinnati office, along with administrative duties such as: screening all phone calls, organizing mail and packages daily, and greeting guests.
What are the Key Objectives:
Provide general administrative support to the regional office including greeting visitors, mail distribution, managing office equipment, organizing employee, client, and vendor events, and ordering supplies.
Provide administrative support for Brokerage Advisors to include marketing, accounting, maintain file compliance, and all related activities to support the sale or lease transactions for the brokerage team.
Manage the listing process including setup, data entry, signage, price changes, remove from market, updates, etc. Maintain an active listing ledger and monitor marketing plans.
Responsible for editing or creating all marketing materials. Monitoring, proofing production of property flyers, brochures, financials, parcel exhibits, prepare sale/lease packages for distribution to interested clients, Offering Memorandum, Broker Opinion of Value, mailers, binding booklets, etc.
Become skilled and creative in the use of CoStar, Loopnet, Hubspot, CREXI, Constant Contact, Site to do Business, ZoomInfo, RetailSphere, Regis Online, Google Pro, Catalyst, and similar products.
Assist advisors in completing vouchers and manage invoice processes in CommercialEdge.
Organize and coordinate activities. Schedule meetings for leadership, take notes, and make travel arrangements as necessary. Manage key reporting dates and save quarterly financials in appropriate folder. Conduct initial lease abstracts. Perform address audits and support the insurance renewals process. Prepare acquisition due diligence materials.
Prepare documents, proposals, agreements, case studies and any other administrative needs.
Education and Certifications:
Associate degree preferred
Microsoft Office Suite competency required
Two (2) years of administrative experience
Prior experience in Real Estate administration preferred
