Overview:

We are seeking a meticulous and detail-oriented Background Adjudication Coordinator to join our team. HUB leverages a third-party consumer reporting agency to collect the background check reports on all candidates for hire after the offer acceptance stage. The Background Adjudication Coordinator role is responsible to review those reports marked "needs client review" by our external vendor partner to adjudicate any flagged issues against HUB's Company Hiring Standards. The Adjudication Coordinator takes steps to gather missing and necessary information to resolve discrepancies so the report can be closed. As necessary, the Adjudication Coordinator ensures that compliant notices are sent to candidates (e.g., Pre-Adverse Action Letters, Adverse Action Letters). This role requires excellent analytical skills, a superb attention to detail, a curiosity to solve puzzles, the ability to interpret complex information, lead challenging discussions both internally and externally, and a commitment to upholding confidentiality and integrity.

Responsibilities:
  • Analyze completed and flagged background checks on job applicants, including but not limited to criminal records, employment history, education verification, and credit reports (only on certain roles) to determine the suitability of candidates for employment against established Company Standards.
  • Apply established Company Standards, processes, and tools to timely complete background adjudication steps.
  • Communicate with relevant parties, including candidates, as well as HUB personnel such as recruiters, hiring managers, and HR Partners, to verify provided information and gather additional information or details as needed.
  • Escalate certain matters, particularly Criminal Conviction Records, to HUB's Legal, HR Compliance and the Chief Security Officer for an individualized assessment as required under law.
  • Using the consumer reporting agency vendor's resources, ensure that applicable legal notices are timely sent to candidates, prior to certain actions being taken.
  • Efficiently respond to questions and ensure cases are moving forward with accuracy and in an expeditious manner.
  • Maintain accurate and detailed records of background investigation findings and decisions.
  • Adhere to all applicable laws, regulations, and company policies regarding background checks and privacy rights.
  • Collaborate with hiring managers and human resources personnel to provide guidance and recommendations based on background investigation results.
  • Stay informed about relevant industry trends, best practices, and legal requirements related to background adjudication processes and to employment regulations and laws (local and national) that may impact these processes.
  • Handle sensitive information with the utmost discretion and ensure confidentiality is maintained at all times.
  • Participate in training sessions and professional development opportunities to enhance skills and knowledge related to background adjudication.

Qualifications:
  • Bachelor's, or Associate's, degree in a relevant field such as criminal justice, human resources, or a related field, is strongly preferred but not required.
  • Two or more years of proven experience administering or leveraging background checks or similar investigative work, preferably in an HR corporate or legal setting.
  • At least two years of experience in an HR Coordinator or comparable position.
  • Strong analytical skills with the ability to synthesize and interpret complex information from various data points to make informed decisions.
  • Excellent communication skills, both verbal and written, with the ability to effectively interact with diverse stakeholders while communicating difficult information.
  • High level of attention to detail and accuracy in record-keeping and documentation.
  • Knowledge of relevant laws, regulations, and industry standards pertaining to background checks and privacy rights (e.g., FCRA, EEOC guidelines), strongly preferred.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
  • Ethical conduct and integrity, with a commitment to upholding confidentiality and maintaining the highest standards of professionalism.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple assignments simultaneously.
