We currently have a position available for an Administrative Assistant supporting our AVPs and Regional Managers for the Northeast Sales Group, who will administer and complete a variety of projects and activities. Responsibilities for this position will include, but not be limited to: Screen mail, correspondence and phone calls and prioritize essential information for review Organize office tasks and simplify administrative duties to ease all routine functions - i.e., keep files organized; update Outlook contacts, etc. for quick retrieval Maintain calendar and handle incoming calls, coordinate conference calls and meetings Generate correspondence for signature; draft letters as requested Coordinate travel arrangements and plan smaller off-site meetings and conferences- arrange details for national customer visits to corporate HQ; and visits to customer locations Provide needed support for customer presentations Process expenses in PeopleSoft Travel and Expense system for AVP and Director, Sales Event Planning - Interact with Accounts Payable and Internal Audit as required Manage the Strategic Account Rebates and warranty fee/SA program administration by administering all reporting and check requests Administrate check requests and invoices through the Aspen System Provide leadership with updated contact lists, personnel changes, territory maps; etc. Print and file monthly reports Interact with other departments to resolve issues which affect the Sales Administration function Respond to requests from customers in a professional and timely manner Support and assist Director, Sales Event Planning and others in the Sales Dept. as needed - Understand department needs Conduct Etime attendance and record keeping for direct reports Requirements: High School Diploma required with at least 5+ years of related Executive level administrative assistance needed. Excellent planning, prioritization and organizational skills are required as well as independent problem- solving skills. Proficiency in Office Outlook and Excel are required, while knowledge of PeopleSoft, Purchase Order requisitions, sales reporting, and SharePoint is ideal. Excellent communication skills are essential.
