The Administrative Assistant at Cook Inc. provides high-level administrative support for assigned Executives as well as back-up support for current administrative staff while maintaining a high leve of communication, confidentiality and professionalism.
Arrange teleconferences, web-casts and other communication needs
Compile numerical or statistical data
Schedule meetings, appointments and conference rooms
Create/draft various business correspondences
Submit expense reports and records
Compile, transcribe, and distribute meetings notes
Prepare agenda for visitors and coordinate travel
Ability to maintain confidential information
Effectively interact with governmental bodies
File and retrieve corporate documents, records and reports
Prepare and distribute agendas
Monitor, sort and distribute incoming correspondence, including mail, faxes & email
Must work and interact effectively and professionally with and for others throughout various levels of the global organization
Engage and support special projects as assigned
Willingness to learn new specific and general subject matter beyond initial training
High school diploma or equivalent
Two years executive office experience preferred
High level of proven office skills, such as Legal Assistant or other specific training and/or experience
Proficiency in Microsoft Office products, including Outlook, Word, Excel, PowerPoint and Access
Experience producing spreadsheets and other computer-generated data analysis reports
Proven ability to quickly learn new technical subject matter that may be unrelated to area of formal training
Proven excellence in organizational skills
Works under general office environmental conditions.
Sitting for extended periods, utilizes close visual acuity for working with computers, etc.
Occasionally required to lift up to 50 lbs. from floor to waist to move tables, chairs for appropriate room set up
Occasionally required to stand; walk and stoop, kneel or crouch
