ABOUT THE WORK:
The Data Coordinator is responsible for the accurate and judicious operation of our fundraising database, ensuring that data are recorded and maintained so that they are correct, up-to-date, and consistent with reporting needs. Responsibilities include gift processing and donor acknowledgement, constituent data management, event registration, and tracking fundraising activity and communications. This position reports to the Systems Manager.
GIFT PROCESSING AND DONOR ACKNOWLEDGEMENT
Processes daily and recurring gift batches to ensure that all gifts and pledges made online, offline, and through our lockbox are accurately recorded in Raisers Edge.
Communicates with Systems Manager, teammates and affiliate partners as needed to process gifts of securities, wire transfers, donor-advised funds, and employee giving programs, or to resolve questions that arise from ambiguity of gift information.
Handles inquiries and questions from donors.
Accurately matches gifts to pledges, proposals, tributes, event registrations, and memberships, produces daily and monthly batch reports, makes gift adjustments as needed.
Observes PCI compliance protocol to keep payment information secure.
Generates and tracks standard and custom acknowledgement letters, tribute notifications, and Compassionate Caregiver Certificates.
Manages invoicing and pledge reminder process, tracking and reporting regularly on outstanding pledges and matching gifts, and generating reminders. Follows up with donors and matching gift companies as needed to maximize matching gift revenue.
Maintains appropriate electronic and paper filing and follow-up systems for financial and donor records.
Oversee donor thank you call process.
CONSTITUENT DATA MANAGEMENT
Creates and maintains constituent and relationship records.
Receives returned mail and makes updates as appropriate.
Merges duplicate records and manages attributes.
Supports prospect management by adding proposals, actions, and notes to the database, using data import or global functions whenever possible.
Works with the Systems Manager to generate lists out of RE for mailings or publications.
Provides support for annual appeal mailings as needed by producing mail merges, labels, etc.
Assists with integration between Raisers Edge and Salesforce databases.
Assists with data entry for both Raisers Edge and Salesforce.
Processes registration fees and guest lists for all fundraising and some non-fundraising events, including our annual dinner which has approximately 1,500 participants.
As needed follows up with sponsors to collect logos and guest names, and in producing registration lists for periodic review leading up to the event.
Assists in on-site registration, produces materials for on-site registration tables and helps train volunteers. Assists in importing attendance lists and adds/updates constituent records after events.
Works to resolve ongoing data clean-up projects, and helps prepare the database for future data conversions and upgrades as needed.
Identifies opportunities to improve efficiency and/or minimize reporting errors.
Maintains batch filing system and coordinates with vendor for annual scanning.
Represents the Schwartz Center on the Gift Processing Council.
Troubleshoots and resolves issues as they arise on behalf of the department. Other Raisers Edge and administrative tasks as assigned.
Must have Bachelor's degree and a minimum of 2-3 years of experience using database software, internships included. Experience with Raisers Edge, Salesforce or other fundraising database software is required, additional training will be provided.
