Job Description for WEALTH GROUP - OPERATIONS ASSISTANT
THIS POSITION REPORTS TO:
Manager of Operations
MINIMUM REQUIREMENTS FOR POSITION:
•Bachelor’s degree(BA or BS) from an accredited college
•Two year minimum investment and or operations or trust office experience
•Proficient in using MS Office Suite products (Word, Excel, PowerPoint, etc.) and other relevant computer applications
•Basic accounting skills
•Business machine proficiency
•Strong verbal and written communication skills
•Ability to understand Trust department products/services and relate to customer needs
•Demonstrated track record that includes attention to detail and ability to manage multiple projects and meet deadlines
•Ability to maintain effective working relationships with staff
•Maintain confidentiality of customer information
•Maintain high degree of professionalism, including appearance
•Maintain satisfactory attendance record
PRIMARY ACTIVITIES AND RESPONSIBILITIES:
•Participate in the account opening process; responsible for the preparation of transfer documents and receipt of asset documentation from transfer agent for operations
•Monitor custodian/safekeeper platforms for receipt of incoming assets, income and capital change notices
•Review and reconcile incoming assets with Investment Officers
•Perform Group quarterly vault audits of assets and assist with the annual OCC audit in gathering operational items
•Perform Group operational functions; processing of client ACH, check disbursements, receipts and wire processing
•Perform Group operational investment functions; daily posting of mutual fund dividends and processing mutual fund trades
•Provide operational support to trust administrators or trust officers with trust portal coding; web reporter, client statements, and other trust accounting system related activities
•Collect department mail and distribute to staff; responsible for department supplies
•Process client transactions, perform investment/brokerage systems maintenance; and assist licensed brokerage staff with client documentation needs relating to investments/brokerage services offered
•Participate in monthly Trust Management Committee meeting
•Perform other duties as needed or assigned by Operations Manager
•Understands and complies with Bank mission, organizational structure, employee handbook, bank security, policies and procedures, standards of conduct and incentive program
•Knows where the CRA notice, statement and public disclosure file is located in the Branch and who the CRA Officer is
•Takes responsibility for self-development by participating in available training opportunities
