Scope of Work - Main duties, settings, geography, reporting relationships, other relationships:
Responsible to receive requests, prepare, coordinate, and control the moves of employees, contractors, and physical assets in the portfolio of buildings under the BAM Department scope.
The BAM department scope covers all of the assets of the company in US, what includes the incumbent zone in NY, CT, MA, ME and non-incumbent as OR, TX, MN, DC, PN where Avangrid has office today, and any other future location. The non-incumbent zone will be managed remotely.
The Lead Analyst will need to become the SME specific to the AVANGRID Property Management System software - Move Management Portal (Archibus)
The Lead Analyst will receive and respond to requests from the employees through the AVANGRID Property Management System software - Move Management Portal (Archibus)
The Lead Analyst will analyze the request, prepare a strategy to resolve it, manage the solution through the building manager, building owner or any other vendor.
The Lead Analyst will need to coordinate the moves with the stake holders of this process, like the Asset Register, Project Managers of BAM Department, Moving companies, transport companies, cleaning companies, IT
The Lead Analyst will control all the reaction times, costs, and finish time through the AVANGRID Property Management System software - Move Management Portal (Archibus)
The Lead Analyst will need to update data and floor plans in the AVANGRID Property Management System software - Move Management Portal (Archibus) as it relates to the move requests
The Lead Analyst will need to request building operations support through the AVANGRID Property Management System software - Work Management Portal (Archibus) as it relates to the move requests.
The Lead Analyst will need to have the ability to travel regularly supporting NY, CT, MA, and ME locations. Occasional travels to the rest of the States if was needed.
The Lead Analyst will be a key team member in the scoping, creation, communication, and management of contracts with Vendors required performing the requests: 1. Furniture designer / supplier 2. Furniture movers / installers 3. Storage companies 4. General Contractors 5. Electrical Contractor 6. Communications Contractors
The Lead Analyst will be the Process Owner for the People's Moves Process. Requiring the individual to continually review the process, initiate process requirement, audit the process, and communicate any necessary changes to the Building Processes Group.
The Lead Analyst will be responsible to record, analyze and make conclusions of some metrics for the People's moves processes. These conclusions will be analyzed by the Senior Manager of Building Operations.
The Lead Analyst will lead / participate in the analysis of space usage throughout all building assets across the AVANGRID portfolio and provide ideas specific to efficiency measure that will reduce operational expenses.
The Lead Analyst will need to collaborate with Safety closely on ergonomic evaluations and the needs associated with the requests (new furniture, Veridesks, computer relocation, material orders, installations, etc.)
The Lead Analyst will participate in OPEX and CAPEX planning meetings to share ideas and project updates as it supports the annual plans, variances, and departmental financial goals.
The Lead Analyst will participate in the Forward 2020 - Building Optimization Plans as a team member as required.
The Lead Analyst will have a key role in the development and implementation of a new AVANGRID Property Management System through the next couple of year providing technical insight to system needs and functionality.
The Lead Analyst will be required to support a storm role as a requirement of the incident command structure and as it relates to Building Operations
The Lead Analyst will be required to perform construction inspections and adhere to all corporate safety mandates and PPE requirements.
The Lead Analyst will be: - Highly visible and have daily interaction with executives, employees, contactors, and requestors. - Requiring strong communication skill and technical knowledge. - In charge to develop the Avangrid standards for people's moves in buildings. - Responsible to record some metrics for the people's moves processes. - Communicate positively about building standards and space consolidation efficiencies measure
MAJOR ROLES AND RESPONSIBILITIES (Scope of work - range of responsibilities):
1. Reports to the Senior Manager of BAM Operations Area. 2. Receives the move requests 3. Communicate with each requestor to understand the need and justifications behind the request 4. Review existing floor plans and space configurations 5. Leads or participates in the design of the new space, with the support of Building Processes, through the asset register and the manager of standards, the space plan and the configuration on site of the people's moves. 6. Coordinates all the moves with Asset Register, specially defining the needs, requirements, and potential consequences of the moves. Collaborating with them specific to the new design, furniture layouts, changes for the stakeholders, and changes to the adjacent employees. 7. Identify mechanical, electrical, and interior finish modifications required as part of the space modification or move request and communicate those needs with the Building Operations and/or Building Projects Group. 8. Consider the global model of space planning approved by the department as it relates to the new workspace requests. 9. Once the moves and designs are approved, coordinates all necessities with the stakeholders: Project Manager, transport companies, Moving companies, IT Department, Building Operations, etc... 10. Updates all floor plans in AVANGRID Property Management System software - Move Management Portal (Archibus) as it relates to the move requests with use of AutoCAD or alternate electronic drawing software. 11. Day-to-day move management of the buildings and workplaces including coordination and supervision of moves between workplaces. 12. Controlling the stocks of furniture and storage areas for the whole portfolio, covering more than 167 buildings 13. Day-to-day management of the framework agreements for moving services, transport, and furniture purchases, etc. 14. Loading any data needed in ARCHIBUS for the Move Process. 15. Coordinates any information that could affect the inventories with the Asset register, with the Supervisor and the Project Manager of each zone. 16. Collaborate in different processes in the Department.
Education & Experience Required:
* Bachelor's Degree in an Engineering / Technical related field with 3 years relevant experience or an Associate's Degree in an Engineering / Technical related field and 5 years relevant experience. * Experience as a team member on at least one (1) major project or program. * Experience in AUTOCAD or alternate electronic drawing software Experience with ARCHIBUS, TRIRIGA and/or BIM or equivalent work management software Skills/Abilities:
