Jobs in this category are responsible for performing administrative tasks to support Distribution Center management & professional staff. Some essentials duties include preparing correspondence, forms, reports, graphs, tables, and spreadsheets as directed, scheduling meetings and preparing agendas, processing expense reports and performing general clerical tasks such as filing, duplicating, faxing, keying, sorting, coding, proofreading, transcribing data, assembling mailings and verifying calculations to support departmental operations using word processing or other computer software packages.
* Prepares correspondence, forms, reports, graphs, tables, and spreadsheets using word processing, or other computer software packages, and proofreads work for typographical errors and supplies correct spelling, punctuation, and grammar as needed * Communicates with individuals within the distribution center and other management and staff at headquarters to answer questions, provide information, and deliver messages via Microsoft Exchange, the telephone, or in person on behalf of the General Manager or Business Unit DVP, and forwards as appropriate, prioritize, and organize correspondence in a manner to ensure follow-up and deadlines are met * Composes correspondence to respond to requests, explain information, or provide factual data for internal and external customers * Completes special projects requiring moderately complex research and analysis, and performs other administrative duties on behalf of managers * Schedules meetings and attend as requested to take notes, and collects information and prepares agendas for monthly and weekly update meetings with management and associates * Makes travel arrangements for managerial staff, and understands expense reimbursement policies and procedures to complete or aid in the completion of expense forms * Assists Financial Administrator as needed in the administration of distribution center needs, and assists Human Resources in planning and arranging training and associate relation activities * Performs general clerical tasks, such as filing, duplicating, faxing, keying, sorting, coding, proofreading, transcribing data, assembling mailings, or verifying calculations to support departmental operations, and orders supplies as needed to ensure staff has necessary materials to handle daily business matters. * Ability to prioritize and organize work and meet deadlines with minimal supervision * Good oral and written business communication and correspondence skills * Proficient in Microsoft environment and Microsoft Office (Word, Excel, PowerPoint, Access, Visio) * Ability to maintain confidentiality of information, and to represent oneself in a professional and business-like manner * Must be 18 years of age or older
