Job Description:

Shionogi is looking for an enthusiastic, highly organized and dynamic team member to join their Human Resources (HR) department!


This diverse role will assist in many aspects of Human Resources including recruitment and hiring processes, performance management and benefits. It will also include assisting our onsite Meeting Planning team as needed. This motivated, new member will gain an understanding of the roles that Human Resources and Meeting Planning play within a global, pharmaceutical company and will gain skills that they can apply to a professional setting.


The ideal candidate has a “roll-up your sleeves” attitude and is a motivated team player who has a desire to learn and contribute to a growing organization.


This position will also staff the Shionogi Welcome Desk, greeting visitors and ensuring a positive candidate experience. The hours for this role are 8:30am-4:30pm, Monday through Friday. Attendance is of utmost importance. 


DUTIES AND RESPONSIBILITIES


HR Coordinator



  • Schedule candidate interviews (via phone, Webex and in-person) and send confirmations

  • Arrange candidate travel logistics and manage expense reports as needed

  • Post jobs in our applicant tracking system and on external job boards including LinkedIn, eQuest, etc.

  • Maintain ATS candidate records and keep data current

  • Act as candidate host and provide assistance with set-up of panel interviews, presentations and organized lunch

  • Assist with sourcing and recruitment activities as needed

  • Manage Job Descriptions library and keep current

  • Work directly with HR Generalist team for job description updates

  • Act as system lead for HR job description revisions and assignments through current electronic management system

  • Work directly with the Legal Department to document and submit all expenses needed for The Sunshine Act

  • Manage the Wellness/Heath Rewards Program

  • Assist Meeting Planning with onsite/offsite meeting coordination as needed

  • Assist HR Department as needed with special projects and ongoing support

  • Answer HR Helpline phone calls as needed

Welcome Desk



  • Greet visitors and assist with their check-in through electronic Envoy Registration System

  • Work directly with administrative assistants for the preparation of external visitors

  • Manage and update the Administrative Reception Lunch Coverage schedule and Executive Support Listing as needed

  • Update the Front Desk Directory and Company Directory as needed

  • Liaise with Corporate Communications and act as Call Center contact

  • Direct deliveries and packages as needed

MINIMUM JOB REQUIREMENTS



  • BA or BS or equivalent is highly preferred

  • Demonstrated interest in Human Resources Management

  • Microsoft Office is required (Word, Excel, PowerPoint and Outlook)

  • Attendance is of utmost importance

  • Experience working in Human Resources is a plus

  • Must live a commutable distance to our US Corporate Headquarters in Florham Park, NJ
