Provide confidential administrative and project coordinator support to the Chief Operating Officer. Perform analytical, project management and administrative support for projects affecting medical office operations and new operational projects. Serve as a conduit for communication between senior management, medical office leadership and project stakeholders.

Responsibilities:

Office of the COO Administrative Support:


  • Provide support to the Chief Operating Officer on all administrative matters, including matters related to monthly Governance, Operations/Nursing and Care Team Associate Transformation & Advisory Groups and Operations and Nursing Councils. Prepare agendas, power point presentations, room reservation, record minutes of the meeting and outline next steps.

  • Serve as key contact to multiple internal and external stakeholders to ensure project milestones are met or exceeded, with appropriate resolution for any identified risks. Support scheduling needs for meetings and events such as the Patient Experience Committee, Operations and Nursing meetings, and 1:1 meetings with the COO’s direct reports.

  • Prepare correspondence (includes drafting and editing materials) to support Governance, Medical Office Operations and Physician Practice Management.

  • Receive and make calls; manage and adjust COO calendar for maximum efficiency.

  • Attend medical office operations meetings, record minutes and next steps.


Communication to senior management, stakeholders, departments, etc.:

  • Communicate Strategy and Planning updates and requests to enterprise leaders and associates.

  • Communicate status and changes of projects to senior management and stakeholders.


Project Management support:
  • Works with the COO in collaboration with Strategy, Facilities, Human Resources, Revenue Cycle Management and Operations Department team to support development and implementation of best in class practice management principles by exhibiting critical thinking skills that solve problems with a logical and analytical discipline

Governance and Corporate Strategy Program:
  • Provide necessary support in the preparation of all Governance and Medical Office Operation’s meetings.

Qualifications:


  • Bachelor’s Degree, preferably in Business or related field

  • 3-5 years of physician practice management support experience, including positions handling confidential information required

  • Additional years of experience or specialized training can be used in lieu of educational requirements preferred

  • Proficiency with MS Office application suite (word processing, spreadsheet/database, presentation) required

  • Strong verbal and written communication skills required

  • Ability to maintain a calm, professional demeanor, confidentiality, and to effectively complete multiple tasks/projects with competing priority levels and deadlines
