Key areas of Responsibility

(Include the following but other duties may be assigned)

  • To ensure that all document requests from business users are dealt with to agreed quality and service standards.

  • Ability to learn skills quickly

  • Flexibility in dealing with simultaneous projects

  • Attention to detail

  • Sorting through documents and scanning them

  • To scan documents to the agreed guidelines, ensuring quality standards are met and that electronic documents are processed and available when required.

  • To ensure scanned documents are quality checked sent to off-site storage within agreed service levels and to liaise with the Records Team regarding deliveries and collections, as appropriate.

  • To work in accordance with established business / systems methods and quality standards ensuring that QA processes are followed and any corrective action taken.

  • Logging large volume document intakes through hand held scanners and spreadsheets

  • Preparing bar codes for document batches to ensure tracking is logged correctly

Key Essential Character profile

  • Be personable, articulate, knowledgeable and professional in presenting oneself in a professional setting

  • Good level of English language, written and spoken

  • Demonstrated commitment to providing excellent customer service

  • Ability to build trust, confidence and credibility with all internal clients.

  • Must be a team player and able to work in a time sensitive high pressure deadline driven work environment.

  • Strong service orientation with a desire to exceed customer expectations.

  • Working knowledge of Microsoft products pertaining to the specific position including but not limited to Outlook, Word, and Excel etc

  • Experience in an FM vendor/client on-site support center preferable but not mandatory
