Summary of Essential Functions, Duties & Responsibilities:
To provide administrative support to the asset management group, and customer focused interaction with external asset management collaborative relationships.
Essential Functions, Duties & Responsibilities
Provides overall administrative supports to the Asset Management Group • Coordinates incoming and outgoing contacts, phone calls, correspondence, information mailings, meeting notices, etc. • Drafts correspondence and prepares formal materials • Perform management information reporting, including the collection and assembly of data • Generate reports on occupancy, delinquency, property assignments, rent increases, delinquencies, year-end audits, property information sheets, housing employees, association memberships, troubled properties, and other topics, as assigned • Assist in the effective resolution of resident, vendor, and employee concerns • Administer and process vendor contracts of $5,001 or more • Provide information to bondholders, mortgage companies, accountants, and auditors upon request • Coordinate completion of information required for Board books • Compile capital program and performance improvement plans • Assure timely and accurate completion of all administrative responsibilities • Contribute to the successful growth of the organization by contributing to the success of those objectives which have been set forth in the companies' current year business plan and those goals which may have been set forth as part of your performance review • Manage asset management computer and hard copy filing system • Schedules travel, arranges conference calls, meetings and accommodations for asset management group • Manages the preparation materials for presentations including graphs, overheads, handouts, etc. • Takes minutes and prepares draft minutes of meetings
Maintains and updates Asset Management database system • Enter new and edited information into the asset management database • Develop requested reports and queries from database system • Troubleshoot general issues with system functionality and system expansion • Coordinate internal access to database system outside of the asset management group
Provides customer-focused support to internal and external Asset Management Collaborative Relationships • Work with management partners to assure the submission of required monitoring and compliance information • Provide responses to basic information requests from partners • Compiles information and conducts research as requested
Knowledge, Skills and Abilities:
• Undergraduate degree in business/accounting, economics or other related field. Additional experience can be substituted in place of a degree. • Minimum 3 years experience in general office/administrative-based functions. • Experience with HUD and/or general interest in low income housing related issue a plus. • Advanced skills in Microsoft Office Suite software, additional database software experience a plus. • Ability to work flexible hours. Ability to travel is required.
