STEP administers the New Jersey Educational Opportunity Fund (EOF) program, – a state funded student support program - and assists with the recruitment and admission of students who meet the financial and academic requirements.

STEP serves primarily, but not exclusively, students of color, and students from low income and academically underserved communities. 

ADMINISTRATIVE ASSISTANT

Under the supervision of the Dean for Student Development & Enrichment Programs, the Administrative Assistant will oversee all office administrative functions ranging from providing administrative and technical support to the department’s staff, the management of office inventory, processing all orders, requisitions, invoices and payments, and coordinating the management of logistics for events and activities. This individual also will serve as the front office manager, be the “face” of the department, ensure students and visitors receive a pleasant and warm welcome, and provide answers to routine and general questions.

Additional responsibilities include, but not limited to:


  • Upkeep of  the department’s website, and helping to maintain the program’s on line presence through effective use of social networking;

  • erving as the administrative liaison with other University Departments (e.g. Student Life, Undergraduate Admissions,  Finance, Accounts Payable, Student Employment, Payroll, Human Resources, etc.) to ensure all requests made to and from these offices are completed professionally and in a timely fashion;

  • Producing a monthly electronic newsletter  for distribution to the students;

  • Marketing programs, services, and activities sponsored by the department and other related organizations;

  • Troubleshoot minor technical problems, and help the staff keep abreast of new software that would contribute to the department’s efficiency and effectiveness;

  • Hire, train & supervise student workers, and ensure that at all times there is adequate coverage of the department;

  • Manage the creation of materials (e.g. brochures, flyers, etc.) to market the department and its events, programs, services, etc.;

  • Database management and data maintenance;

  • Perform general office management and administrative tasks;

  • Additional responsibilities as required by Dean and other senior administrative staff;

Qualifications:

Bachelor’s degree or an equivalent combination of education and experience is preferred. A minimum of two years administrative professional experience preferably in higher education, and a working knowledge of WorkDay, Kuali, and Concur desired.

The candidate also should be knowledgeable about webpage development, be proficient in the use of MS Office Suite tools (e.g. Word, Excel, Publisher, PowerPoint), and Canva, or similar graphic design websites.  Strong oral and written communication skills, and organization skills, ability to multitask effectively and work independently, and as part of a team, professionalism, and the capability to interact well with students, administrators and others are also required.  Excellent project management, time management and follow-through skills, meeting deadlines and the ability to make independent decisions are also essential. Must possess good judgment, be reliable, flexible and dependable.
