Successfully executes assignments of diverse scope that are highly complex in nature, requiring considerable judgment and initiative in resolving problems and making recommendations within the line of business; exercises judgment within generally defined practices and policies in selecting methods and techniques for accomplishing assignments and obtaining solutions. May provide guidance to other non-exempt personnel or administrative staff.
Provides a wide variety of administrative duties in support of three or more managers or executive team members (10%)
Loan Documentation Administration (65%): • Gathers pertinent documentation for preparation of scanning to underwriter for commercial loans along with formal requests; follows through with completed CAR to complete all requirements/gathering of data associated with the ordering of the executable loan documents from appropriate in house department or legal counsel for commercial loans and business banking loans • Responsible for quality checks of executable loan documentation packets, document deficiencies and resolution of deficiencies or clarification of "best practices"; forwards executed loan documentation to appropriate internal department and ensures executed loan documents are sent for booking to the appropriate department in a timely, efficient manner • May close executable loan documentation on behalf of company at the request of manager(s) • Responsible for working closely with manager(s) regarding maturing reports and exceptions
Support/Manage (10%): • Administers programs, projects and / or processes specific to the line of business served; may be required to work with regulators/internal review as requested • May support entire department i.e. organization charts, track all associates' time off, order supplies, as well as general support. • May supervise other Administrative Assistants
Client Service (15%): • Focuses on overall bank relationship for customers to include loan and deposit relationships • Maintains existing loan portfolio in an administrative capacity to include managing and minimizing loan exceptions, past due loan balances and updating loan portfolios with current loan information Minimum Knowledge, Skills, and Abilities Needed to Perform Essential Functions of the Job: • Requires 7+ years administrative support experience in roles interfacing with managers, executive team leads, customers (external and internal), serving on committees and working with vendors • Proficiency using Microsoft Office Suite • Maintain positive, professional relationships • The ability to follow and understand complex instructions and maintain written/electronic records • Strong interpersonal, written and verbal communication skills Associate's or Bachelor's degree in a business, office management or related curriculum, preferred Physical Requirements: • Frequently lifts and carries less than 10 lbs. • Occasionally lifts and carries up to 20 lbs. • Frequently sits, stands and walks.
