Position Title: Mortgage Loan Admin Assistant I Exempt Status: Non-Exempt, Full Time Hourly Reports to: Mortgage Loan Officer Summary of the Job: Performs administrative duties and mortgage-specific Sales support tasks. Essential Functions: * Performs regular administrative duties as needed, including providing telephone support, screening visitors, and coordinating/scheduling meetings and appointments. * Performs administrative tasks for supervisor and Mortgage management as assigned. * Assists in finalizing loan applications, gathering loan documentation including customer-executed documents, prepares files for submission to Operations, works as needed with Operations to ensure the timely closing of the loans in the LO's pipeline. * Obtains additional information as needed to complete reports on sensitive or special management communications. * Processes correspondence, files and performs other specific duties for Mortgage management staff. * Orders and maintains office supplies as needed for the department. * Processes payments as needed and maintains customer relationships. * Maintains the Mortgage Loan Officer's calendar including meetings, vacation time, appointments, etc. * Maintains confidentiality of all sensitive Bank information at all times. Additional Functions: * Works independently, operating within division or department policy guidelines using independent judgment in achieving assigned objectives. * Complies with all safety policies, practices and procedures. Reports all unsafe activities to supervisor and/or Human Resources. * Participates in proactive team efforts to achieve departmental and company goals. * Provides leadership to others through example and sharing of knowledge/skill. * Performs other duties as assigned. Required Education/Experience: * High School diploma or general education degree (GED) * 2 years of college at an accredited institution Necessary Skills: * Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write information and respond to questions from groups of managers, clients, customers, and the general public. * Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. * Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. * Proficient personal computer skills including electronic mail, record-keeping, routine database activity, word processing, spreadsheet, graphics, etc. * Prioritize, organize, and delegate assignments. Physical Activity/Dexterity: * Light physical activity performing non-strenuous daily activities of an administrative nature. * Manual dexterity sufficient to reach/handle items and work with fingers. Works with fingers and perceives attributes of objects and materials. * Ability to lift up to 10 pounds. Physical Environment Demands: * Stand, sit and walk. * Use hands to finger, handle or feel. * Reach with hands and arms. * Climb or balance. * Stoop, kneel, crouch or crawl. * See, hear, speak, read and write. * Ability to concentrate Working Conditions/Environment: * Well-lit, heated and/or air-conditioned indoor office setting with adequate ventilation. * Moderate noise (e.g. business office with computers and printers, light traffic).
