SUMMARY OF POSITION

The Accounts Payable Specialist provides support necessary to enter and process the financial obligations of the Company. This position is responsible for processing invoices and requests received for payment in an accurate, efficient, and timely manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

- Code and enter invoices and check requests; monitor invoices/credits for the appropriate general ledger account, tax rate, price, received quantity, etc.; verifies addresses and federal I.D. numbers of vendors; reviews invoices and requisitions for satisfactory payment approval.

- Works closely with internal and external customers to resolve problems and obtain necessary documentation such as purchase orders, proof of delivery and required forms (W-9, W8-BEN, etc.).

- Maintains and updates various spreadsheets; performs a variety of duties such as filing and processing mail; analyzes Goods Receipt/Invoice Receipt report and takes appropriate steps to manage outstanding items; reconciles intercompany accounts.

- Processes sales and use tax returns and assists in preparation of 1099 reporting.

- Assists in annual audit.

- Receives and organizes statements from vendors; checks vendor files for payment of any invoices listed outstanding; makes and receives calls to departments and/or vendors concerning any outstanding invoices or credits for verification of unpaid, lost, or questionable invoice items/prices on billed invoices/credits or received products.

- Participates in continuous improvement initiatives and provides input for efficiency enhancements.

- Performs GL and various account reconciliations and assists General and Operations accounting teams as necessary.

JOB REQUIREMENTS

- Education/Certification Requirements

o Associates degree in Accounting or Business

- Experience

o 2+ years Finance/Accounting office experience

o Proficiency with SAP software preferred, but not required

- Ability to work in front of a laptop or PC workstation for extended periods of time

- Occasional standing, sitting, walking, and talking on the phone

WORK ENVIRONMENT

This is a fast-paced work environment with consistent pressure to complete duties as outlined above which requires ability to manage multiple projects at a detailed level and provide support to many internal departments in a fast-changing environment. Many duties listed above are time-sensitive and have strict deadlines for completion.

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
