Job Summary

The Document Specialist I provide subject matter expertise in the Mail Processing Center with Mail Management, Records Management and Floor Operations with a high concentration on productivity and quality.    

           

Responsibilities


  • Document Management

  • Identify mail by type (Mortgage, Customer Service, Bankruptcy, Signature)

  • Responsible for indexing document types within a specific queue in OnBase to the correct account

  • Perform Outgoing USPS Mail process

  • Perform Affidavits process

  • Perform Customer Service Mail process

  • Perform Original file process

  • Perform Check-in/Check-out process within Tab Fusion

  • Ability to review documents for long period of time and recognize errors

  • Audit work for completeness prior to scanning and indexing

  • Ability to categorize, label and file records within the vault

  • Responsible for the pick-up delivery of all mail, small packages and scan requests from each floor at the designated mail cabinet locations

  • Replace Iron Mountain signage on shred bins and ensure each bin is secured with a lock

Qualifications/Skills


  • Ability to work in a detail oriented, time sensitive environment

  • Strong time management skills

  • Ability to prioritize workload to meet deadlines and achieve volume goals and performance standards

  • Ability to handle confidential material in a professional, ethical manner

  • Excellent communication and interpersonal skills and ability to communicate effectively at all levels in person, by phone and by email

  • Exhibit excellence in customer service and the avility to serve others by providing immediate attention to customers entering the DRCM

  • Professional appearance and attitude

  • Proficient with Microsoft Office

  • Walking, bending, reading, standing and sitting

  • Ability to lift and/or move packages on a standard wheeled cart

  • Possess a minimum of 1-year professional level work experience in a production setting


  • Proficient in Microsoft Office



  • Familiarity with tracking databases; basic computer skills with the ability to navigate efficiently"

           

Education

  • High school graduate, college preferred but not required
