Do you like to win? Then this newly created role was made for you. Our Assistant Preconstruction Manager role will collaboratively support the entire preconstruction team effort for the Helix Mid Atlantic office to win.

This includes tracking opportunities in our customer resource management (CRM) software, client outreach, quantity take-off, design-build conceptual estimating, pricing and budgeting, writing and negotiating scopes of work, and bid day interaction with clients, vendors and subcontractors.

DESCRIPTION OF DUTIES & SCOPE:

- Maintain and update CRM by maintaining new and existing clients, contacts, leads and opportunities in our CRM software and generate various reports when needed.

- Participate in industry associations, events and other client relations activities. Plan in advance the industry events in which you will participate, set goals for each event and report back after each event.

- Solicit and establish relationships with subcontractors and vendors. Able to identify subcontractors and vendors who can be assets to Helix in winning and executing work. Reach out to them to establish relationships.

- Source and monitor available public information and invitations for bid opportunities. Regularly review traditional and non-traditional sources of information that may lead to business opportunities.

- Obtain, save and disseminate bid documents for use by estimating, subcontractors and vendors. Once a project has been identified as being worthy of evaluation to bid, establish the file structure for it on our cloud drive and download all available documents to it. When necessary, create a project file structure on ShareFile and upload all available documents there as well. Disseminate bid documents to subcontractors and vendors, including Amendments. When appropriate move files to Archive or to Awarded.

- Support San Diego estimating department. The estimating department in San Diego depends upon us to obtain all bid documents and frequently to find specialty subcontractors and vendors to support the bid. They also depend upon us to collect client contact information for each bid. For pursuits that require a proposal, we must also support the San Diego marketing department with information.

- Collaborate with the marketing department to create proposals. Many pursuits will require narrative responses to address the design, schedules to accomplish the work, past performance descriptions of work, recommendations/ratings of our work from past clients and more.

- Collaborate with the operations department to create construction schedules. Following award of a project, there will be a hand-off meeting between Estimating and Operations. Ensure that all information is transferred to Operations and provide answers to follow up questions when they arise. This may include clarifying what assumptions were made during the pursuit in the absence of information from the client.

- Prepare conceptual estimates. On design/build pursuits we prefer to define as much of the scope as possible by doing a design in-house and using it as the basis for a quantity take-off with labor and material pricing. We will also use historical data from past bids and completed projects to estimate the cost of projects or elements of a project to support the price to our client.

- Perform quantity take-offs in estimating software. When needed, perform quantity take-offs of bid documents to support our overall estimate of the cost of construction. When appropriate, send your quantities out to vendors for them to quote. This is common with light fixtures.

- Review quotations from subcontractors and vendors for accuracy and completeness; ensure corrections are made when they fall short of our needs.

- Prepare a scope of work for each project bid/client. Find out our client's preferred electrical scope of work, draft that scope and send it to the Estimating department so that they know what they should include and exclude from their take-off.

- Follow up with clients, subcontractors and vendors after bids. Knowing what prices our competition provided for the work will help us evaluate our pricing on this project, on the market and on future bids.

- Retain historical pricing data organized and readily usable on future bids. Every time we bid or complete a project there is an opportunity to gather data and learn from it.

- Assist with management of electrical designer consultants on design/build projects. Monitor and manage the electrical design consultants in such as way that provide a code and specification compliant design, as well as one that maintains the electrical construction budget.

- Increase your knowledge and use of tools that support our success. The success of Helix depends upon your success in this position. Your overarching goal should be to continuously improve your performance and seek to learn new skills that can increase your value to the company. Becoming a certified DBIA Design-Build Professional is a good example.

REQUIREMENTS:

- Minimum Level II with the appetite to grow into a level II or IV and the ability to think long term professionally

- This role requires someone to have a high level of accountability and decorum as the information gathered weekly will be used by the Director and VP of Operations in their weekly meetings

- Participate in ABC and other association meetings which often happen outside of the regular working hours

- High level of organizational skills to maintain call sheets and bid documents with appropriate information and follow up on potential business opportunities.

- Effective communication both written and verbal

- Collaborates well with other departments, vendors, and clients/customers

- Stays in the know and ahead of the curve when it comes to our competition and what they're providing to our clients and owners; document and share internally.

- Currently perform quantity take-offs when requested, giving priority to scopes that must be sent out to vendors to quote

- Strong research and documenting ability

- Work with your manager to establish annual goals for training and certifications that will improve your performance and make you more valuable to the company.

- Maintains a high sense of urgency and able to identify time-sensitive information quickly

- Software: Microsoft Suite (including Teams and Project), Accubid or ConEst (or Similar), and Bluebeam
