Job Description:

Job Summary

The Plant Engineering Administrative Assistant is responsible for, compiling and managing the district extensive environmental files.  This includes federal, state and local documents and reports.  The associated files require timely response as needed to the various regulatory agencies; the files must also be kept in accordance to UPS retention guidelines and policies. Basic environmental knowledge is preferable. The processing of all associated environmental related invoices to the various regulatory agencies.   

Other Duties 

• Processing of non-management employees timecards.
• De-logging of work orders, etc…
• Knowledge of facility maintenance requirements.
• Multi-task with multiple contractors as needed.
• Responsible to maintain various tracking spreadsheets for storm water, waste water, underground storage tank and water well compliance.
• Other duties as assigned.

Preferred Skills/Experience 

• Strong impersonal skills and professional office conduct when dealing with federal, state and local agencies.
• Preferred to have knowledge of the I-Procurement, ARIBA, OASIS, PTRS and Activity System programs.
• The need to be flexible with start times and vacation coverage as needed.
• Experience using Microsoft Office (Word, Excel, PowerPoint, Outlook & Access).
• Accurate data entry skills.
• Demonstrated ability to manage multiple tasks in a fast-paced environment under minimal supervision with a high attention to detail.
• Strong analytical, oral/written communication, problem solving, research, organizational, follow-up and time management skills.
• Ability to work independently and in a team environment.
• Office support experience is preferred.
