As a Trademark Records Specialist you will be responsible for the collection, organization and review of documents and materials that show the use and reputation of our brands in every country. You will identify gaps in the documentation to support enforcement matters. You will conduct research on 3rd party uses of trademarks for compliance and research related to future trademarks.

 

What You Will Do:

 


  • Responsible for collecting evidence for preservation and enforcement of our trademarks for all years, brands and countries.

  • Accurately maintain and organize the evidence on shared drives by brand, year and country.

  • Produce various reports on the status of evidence collection by brand, year and country.

  • Gather, obtain approval and submit all required evidence to support all enforcement matters within the dates required.

  • Correspond with international counsel on enforcement matter evidence requirements.

  • Create and manage a listing/catalogue of existing hard files for enforcement matters.

  • Monitor settled enforcement matters to ensure 3rd party compliance with the terms of the settlement.

  • Clear approved watch notices through a 3rd party software.

  • Review shipping reports to determine trademark use in all countries, prepare reports for management approval and update the trademark database.

  • Perform internal investigation searches on potential trademarks.

  • Perform Dun & Bradstreet searches.

  • Reviews settlement agreements for key terms, uploads the documentation into a trademark database and associates the file with the relevant records.

  • Scan and file registration and renewal certificates in the trademark database, shared drives and hard copy files (where needed).

  • Validate registrations in each country with 3rd party software (if needed - foreign counsel).

  • Prepare international power of attorney for signing and processing.

  • Docket enforcement emails and actions.

  • Prepare settlement agreement checklist for review and approval by management.

  • Add new contracts to trademark database, review existing records to associate the contract, update the contracts workbook, brand guide and trademark profile records.

  • Meets deadlines and works independently as well as part of a team.

  • Maintains satisfactory attendance, to include timeliness.

  • Responsible for understanding and complying with applicable quality, environmental and safety regulatory consideration.

 

What You Will Need:

 


  • Bachelor's degree; OR 4 years legal, trademark or business office support experience reflecting increasing levels of responsibility.

  • Skilled in the use of MS Word, MS Excel and MS Outlook at an intermediate level.

  • Required to use discretion when dealing with confidential information.

  • Extremely detail orientated, focus on data entry accuracy.

 

What Will Set You Apart:

 


  • Bachelor’s degree plus 1 year of legal or trademark experience.

  • Experience reading and interpreting documents such as safety rules, operating and maintenance instructions, and procedure manuals. Experience writing routine reports and correspondence. Experience speaking effectively before groups of customers or employees of organization.

  • Experience calculating figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Experience applying concepts of basic algebra and geometry.

  • Applies common sense understanding to carry out instructions furnished in written, oral, or diagram form. Experience dealing with problems involving several concrete variables in standardized situations.

  • Computer skill requirements include: intermediate MS Word, Excel, PowerPoint, Outlook and Access.

  • Knows the fundamental concepts, practices and procedures of particular field of specialization.

  • Perform routine work by following detailed instruction that requires little evaluation, originality or ingenuity.
