DEPARTMENT OVERVIEW

The Accounting Group of the WGBH Finance Department is responsible for establishing and maintaining the internal financial control structure and environment that enables WGBH to comply with all the applicable laws, regulations, and policies. This encompasses the various business needs of WGBH, including the following functions: financial reporting and analysis, payroll, accounts payable, billing, accounts receivable, and maintenance of the general ledger. The Accounting Group is also responsible for managing the audits of the company, including the annual audit and the audit of Federal Awards in accordance with OMB Circular A-133.

JOB OVERVIEW

Reporting to the Finance Operations Manager, the Accounts Payable Analyst will have responsibility for all accounts payable administrative functions including processing and oversight of all invoices and corresponding payments.   

RESPONSIBILITIES


  • Administer the full accounts payable cycle ensuring all invoices, check request, wire and ACH payments are processed in a timely and accurate manner.

  • Review and approve employees expense reports to ensure compliance with Foundation expense reporting policy.

  • Ensure all accounts payable policies and procedures are adhered to including travel and related expenses, and invoice processing.

  • Provide units, vendors and external clients with the highest level of customer services and problem solving.

  • Partner with Finance Operations Manager to identify and implement process improvements.

  • Investigate and resolve problems associated with processing of invoices.

  • Collaborate with tax function to ensure timeliness and accuracy of  Form 1042 and Form 1099 tax withholding process and payment and compliance.

  • Prepare monthly templates to be uploaded into Workday as journal entries.

  • Assist with testing and revision of workday setup and configuration.

  • Maintain foreign currency tables.

  • Assist the procurement process as needed.

  • Assist in projects as needed.

  • Manage the settlement of 300-500 weekly checks/ACH payments for vendors. Investigate and resolve processing errors and run accounts payable jobs. Maintain vendor relations in ensuring timely and accurate payments.


  • Review of vendor payments throughout the year to assure proper processing of 1099s.


  • Manage external vendor accounts including subscriptions and shipping.



  • Maintain strong communication and frequent contact with individual departments to assure accurate processing of payments to suppliers. Assist in training of new employees who have responsibilities for vendor payments.




SKILL SET


  • Knowledge of applicable laws and regulations; including 1099 suppliers

  • Strong analytical, problem solving, and reconciliation skills

  • Detail oriented and ability to maintain high level of accuracy

  • Quick learner and self started with the ability to work independently and as part of a team.

  • Strong Microsoft Office Skills; proficiency in Excel

  • Strong verbal and written communication skills

EDUCATION AND EXPERIENCE

Bachelor’s Degree in Finance/Accounting a plus. 4+ years of experience in Accounts Payable and related processes and procedures. Experience with Finance systems required.
