Overview
Black Box is seeking a part-time Executive Administrative Assistant to support the Chief Executive Officer based out of Irving, TX. This position will provide direct administrative support for the CEO, involving work of a confidential nature requiring knowledge of the practices, procedures, policies and programs of the organization or function.

Responsibilities
Completes administrative projects that can have broad impact.
Drafts responses for the CEO's signature based on knowledge of activities, interests, priorities, issues, schedules, etc.
Discerns the proper channels for addressing issues/concerns.
Composes important and confidential correspondence and documents requiring a broad knowledge of department operations, policies, procedures, and regulations.
Establishes and maintains confidential and non-confidential files and records.
Prepares various reports that involve gathering data, summarizing information, and compiling into appropriate format.
Schedules and coordinates on-site and off-site meetings and conferences. Arranges agendas and registers attendees. Makes travel arrangements as required.
Coordinates various schedules, meeting plans and agendas.
Coordinates events, i.e., conference calls, team meetings and ad hoc meetings.
Provides administrative support in the preparation of the annual budget for the assigned organization area and monitors and tracks expenditures with approved budget allocations.
Enhances productivity and demonstrates advanced proficiency by adapting to new technology and acquiring new technical skills through training.
Ensures that the office administrative functions are effectively carried out, keeping informed of departmental/division activities.
Exercises diplomacy and good communication skills in receiving visitors and telephone inquiries. Supplies information that requires knowledge of functional organization and procedures.
Serves as an information resource regarding critical policies and procedures.
Performs special projects as required, and handles additional duties and responsibilities as assigned by the Executive team
Proactively maintains calendar, arrange meetings and appointments and provide reminders
Make travel arrangements
Take notes and minutes and accurately and timely send out to team as necessary
Build and edit Power Point presentations
Overall department maintenance: Administrative filing, supplies, storage closets.
Processing of applicable purchase requisitions and purchase orders.
Develop and carry out an efficient documentation and filing system
Gathers, assembles, creates, disseminates, and maintains large volumes of confidential and sensitive information using spreadsheets, databases and reports
Provides information in response to routine questions and serves as an escalation point for other staff
Acts as a liaison with other departments and outside agencies, including high-level executives
Responsible for special and ongoing executive projects
Coordinates P.O. approvals, invoices and interfaces with vendors as needed
Orders office supplies and maintains basic office equipment; handles departmental mail
Administrative Professional Certification preferred
Able and willing to work 20 to 25 hours per week. Ideally Monday, Wednesday, Friday 7 hours per day.
Able and willing to work occassionally "off hourse as well as an occassional Tuesday or Thursday.
Ability to demonstrate a high level of discretion and confidentiality
Strong working knowledge of Microsoft Office Suite - Advanced Power Point a must
Demonstrated ability to use learn and utilize in-house programs
Ability to create, proof and deliver reports, presentations and other high level documents
Excellent problem resolution and diplomacy skills
Ability to work in a fast-paced, dynamic environment
Excellent written and oral communication skills
Positive, proactive and adaptable
Excellent organizational skills, attention to detail
Ability to prioritize work and meet deadlines
Work closely with executive leadership
