Reporting directly to the Chief Executive Officer (CEO), the Executive Assistant, serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the Office of the CEO. The Executive Assistant serves as the primary liaison to the Board of Directors and senior leaders. In addition, the Executive Assistant coordinates external relations efforts. The Executive Assistant should be well organized and have the ability to exercise good judgment in a variety of situations with strong written and verbal communication. Incumbent should also have the ability to balance multiple priorities and work well under pressure to handle a wide variety of activities and confidential matters with discretion.
Roles and Responsibilities
Executive Support
Completes a wide range of administrative tasks for the CEO, including managing an active calendar; completing expense reports; arranging complex and detailed travel plans, itineraries and agendas, and compiling necessary documents for travel related meetings.
Ensure the CEO calendar and schedule is followed.
Effectively communicates with Board members and Senior Leaders
Researches, prioritizes and follows up on incoming issues and determines appropriate course of response or referral.
Works closely with the CEO to keep her informed of upcoming commitments
Participates in Zoetis Executive Team meetings and coordinates logistics and scheduling.
Qualifications
Bachelor's degree preferred or equivalent
At least 5-10 years of experience supporting a C-level Executive, preferably a CEO
Strong organization skills and ability to multi-task with attention to detail
Strong interpersonal skills and ability to manage various stakeholders
Demonstrated ability to proactively problem solve
Proven ability to handle confidential information
Actively seeks opportunities and proposes solutions
