Hill is seeking a Project Controls Coordinator in San Jose, CA

Project Controls

Responsible for various reports such as but not limited to:


  • Project List for EPD, SVRT and Planning projects using data from the access database and ensuring it matches other reports generated



  • Update, coordinate and publish construction contract staffing



  • Coordinate and update reports with input from SAP, Project Schedulers, Project Managers and controlled records

  • Key person for routing change orders, purchase requisitions, Capital Project Request forms and Procurement Contract Request Forms via docusign

  • Responsible for maintaining and uploading Capital Project Request Forms in Intranet site (PCST) and in Controlled Records


Document Control

Tasks include:


  • Audit documents processed by document control staff including timely and accurate processing of documents and closeout of contracts and projects

  • Document monitoring and coordination

  • Document processing in case document control specialists are not available



  • Update project, contract information and distribution lists



  • Train new document control personnel



  • Maintain document Control job instructions and distribution lists



Contract Administration


  • Support Engineering and Program Delivery Project Managers to compile and track pre contract request form, contract request form and supporting documentation



  • Assist Procurement Division with some of the procurement tasks as directed by the respective Contract Administrator


Qualifications


  • Minimum 3 years' experience in project controls, document control or contract administration

  • Computer literate with deep experience in Microsoft Office applications, with the ability to teach and/or tutor staff in the use of Office applications

  • Proven track record of effective communication within team and with stakeholders

  • Knowledge of SharePoint is a plus
