Job Description:

Nature of the Position
Guarantee the availability and the supply of a broad range of materials and services in support of operations, capital projects, facilities services and maintenance. In addition, will also source and approve alternative suppliers and products ensuring Coim has the best competitiveness possible - not only on a material cost standpoint, but also considering logistics, operational, storage aspects. Be aware of the fluctuations of our market and how it impacts our requirements and costs. Understand and assure that the internal processes and flows are being followed. Keep efficient and effective communication both internally and externally.
Key Responsibilities
Job Function

Negotiate, renegotiate, and administer contracts with suppliers, vendors, and other representatives;
Manage relationships with all suppliers, vendors, and other representatives;
Partner with management to manage the process for complex capital project purchases, applying best business practices;
Identify MRO opportunities by partnering with Engineering and Maintenance and the Plant Engineering Manager;
Ensure mission-critical parts are on stock to avoid unplanned equipment downtime;
Prepare purchase orders, solicit bid proposals, and review requisitions for goods and services;
Purchase the highest quality merchandise at the lowest possible price and in correct amounts;
Seek ways to minimize the number of single sourced materials;
Provide support to the Buyers of the Purchasing area;
Maintain records of the negotiations and make it available for the Purchasing area;
Ensure that the Vendors under your responsibility are following Coim's policies regarding delivery terms and safety;
Evaluate and monitor contract performance to ensure all price and commercial conditions that will be included in a PO are accurate and updated;
Research and evaluate areas of opportunity and reduce costs where possible;
Deliver briefs, updates and reports as and when required;
Back up other Buyers as needed.
Other duties as assigned by management.
Ensure purchases are only made from approved suppliers;
Adhere to ISO standards for the Area;
Keeps Approved Vendor questionnaires / documentation updated (ISO);
Approve payment of bills - analyze and propose solution to any discrepancy between Purchase Order and Invoice;
Will support all areas on any commercial interaction with Vendor that may be required;
Responds to inquiries from a variety of individuals (e.g. auditors, vendors) for the purpose of providing;
Maintains/Update supplier quality system
Places orders to Vendors and ensures that documentation is in order, with terms and conditions being clear as well as correct price, quantity and delivery date;
Makes sure to place orders only to approved Vendors;
Makes sure to receive a PO acknowledgement from Vendor;
Makes sure to receive a PO confirmation with a delivery date from Vendor;
Interacts with suppliers in case of delay in delivery of products that cannot be successfully handled directly by requesting area;
Responsible for formally notifying any vendor whose delivery arrives at Coim not meeting the quality and safety standards (offspec, damaged, lower quantity, leaking, price, etc);
Maintain a filing system of all the Purchase Requisitions received from requesting Areas;
Maintain a variety of manual and electric documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance.
