The Secretary/Receptionist will greet, assist, and provide direction and information to patients, staff, and visitors of Nantucket Cottage Hospital. This position performs administrative support tasks for the Imaging department with variety of duties for delivery of services to NCH patients and staff.
Essential Job Duties and Responsibilities
Greets patients, guests, physicians and staff politely and directs them as needed.
Notifies appropriate staff of patient arrivals, schedule changes, and messages.
Answers, screens, and directs phone calls to staff; takes messages and schedules appointments.
Enters orders into the electronic medical record (EMR) system.
Contacts patients prior to their appointment to confirm and instruct them on proper preparations for their diagnostic examinations.
Informs department staff of pending exams, issues, or follow-up information appropriate to maintaining patient workflow.
Effectively navigates department systems and technology.
Creates patient CD's from Picture Archiving and Communication System (PACS) software.
Uploads outside images to patient EMR/PACS.
Performs department filing and recordkeeping.
Maintains a clean and safe environment for patients and staff.
Maintains department supply inventory, use, and ordering in a cost-effective manner.
Assists in maintaining department equipment, and reports equipment problems to supervisor as needed.
Receives department mail, documents, packages, and deliveries and distributes as needed.
Always maintains patient confidentiality.
Adapts to changes in workload or patient assignments without compromise to patient care.
Participates in quality improvement activities within the department.
Participates in customer service initiatives.
Performs other duties as assigned.

Credentials and Experience Required
High School Diploma or equivalent.
Associate Degree in Secretarial Science/Business, or a Secretary Certificate preferred.
Proficient with Microsoft Office Suite.
2 years of hospital or medical office experience preferred.
Special Requirements
Must be available to work in the case of a Hospital declared emergency.
Must be available to work overtime as needed to complete job duties.
Prolonged periods of sitting at a desk.
Must be able to lift a minimum of 15 pounds.
