Job Description:

GENERAL SUMMARY/ OVERVIEW STATEMENT:



The Division of Cardiac Surgery is looking for a highly-motivated,flexible individual to join our outpatient practice. In this fast paced, team oriented environmentyou will learn all administrative functions of the cardiac surgery outpatientpractice including making appointments, researching and retrieving outsidemedical records, checking in patients, scheduling tests and surgery andtriaging patient telephone calls. Youwill work with a team of dedicated nurse practitioners and patient servicescoordinators to ensure a quality-based, customer-oriented flow of work andperform a wide range of administrative tasks to provide support andadministrative coverage of a surgical office.



PRINCIPAL DUTIES AND RESPONSIBILITIES:



Answer division main telephone line, respond or triage callsas appropriate to NPs or MD offices.


Assist the Practice Access Coordinator with scheduling of outpatientappointments via phone, email or Epic work queue. May also include scheduling of inpatientconsults.


Refer patients to the Registration, Referral and FinancialServices as needed


Collect and input referral data for new appointments.


Research and retrieve outside medical information requiredfor office visits. Scan paper and uploadoutside medical images into patient electronic record.


Schedule testing, appointments and referrals to otherdepartments as directed by providers.


Provide coverage for PSC/Administrative Assistant Staff asneeded.


Provide daily front desk coverage during lunch, breaks, endof day, and during busy times as needed as well as for vacation and sick days. This includes check in functions and co-paycollection


Provide daily surgical scheduling coverage during lunch, breaks,and during busy times as needed as well as for vacation and sick days.


Maintain patient/clinic areas including supply, waiting, andexam rooms in accordance with The Joint Commission, HIPAA and Infection Controlguidelines


Manage incoming faxes by responding or sorting anddistributing to the appropriate location


Make daily surgery arrival time calls.


Order office, clinic and dietary supplies


Deliver, retrieve and sort mail.


Performs all other related task which would facilitate theflow of patients through the practice or which would enhance the patientexperience.


May make daily appointment reminder calls.


Perform special projects as assigned.



Qualifications

QUALIFICATIONS/SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:




  • High School Diploma required; Associates Degree or certificate in Business/Secretarial Science desirable


  • Experience in a healthcare or secretarial experience preferred


  • Knowledge of computer skills necessary to use electronic medical records (EPIC), Microsoft Outlook, and other systems at a level sufficient to perform job.


  • Good command of English language, including medical and scientific terminology.


  • Exceptional organizational skills and the flexibility to manage multiple tasks, deadline pressures and accurate attention to detail


  • Excellent interpersonal and customer service skills and the ability to work independently or in a team environment.


  • Demonstrated ability to solve problem; ability to understand complex process and resolve complex issues.


  • Is knowledgeable and compliant in all hospital, State and Federal regulatory requirements, including hospital policy and procedures (where applicable to the performance of the job), Joint Commission (JC), and Health Insurance Portability and Accountability Act of 1996 (HIPAA).
