Position Description
The role of Manager, Content Management and CE Administration within the ISG Sales Training organization will be responsible for management of the Sales Portal and administration of Continuing Education. The time allocation between these two activities is approximately a 50/50 split of time commitment. The role’s content management responsibilities are primarily in support of the learning segment of the Sales Portal, along with support for all other systems and platforms where learning content is housed. Responsible for Continuing Education management, this role serves as the key contact and resource for Sales & Distribution on the planning, design, and execution of CE events as well as serving as the liaison with associated third-party vendors. This position reports into the Vice President, Sales Training and has no direct reports.
Responsibilities
Content Management and Continuing Education
Collaborate with internal subject matter experts and external partners to gather recommendations on content topics and themes for new CE courses
Collect data and perform analysis of courses to determine usage and effectiveness; prepare monthly CE dashboard
Partner with Marketing to ensure the timely completion of the content design, print and packaging of presentation(s) and collateral materials such as CE brochure, Advisor feedback form(s)
Gather feedback on existing CE content from the field; share finding with the CE steering committee
Continuously review CE courses (content) for accuracy of data, numbers, content; work from a master review plan of own creation; provide status updates on review activities and outcomes
Ensure CE content is professional in appearance, current, appropriate, compliant with established information architecture, compliant and accessible to all users
Create, develop, proofread all web content for the CE page of the Sales Portal so that it is error-free
Provide proofreading and quality review of all CE content production, providing feedback to content developers as a precursor to their MRU/Compliance review steps
Support requests for data and information from Sales leadership and the Advanced Planning team; completes requested data analysis and packages information in a professional format
Sales Portal & Salesforce
Maintain oversight and controls for the shared drive, file folder structure, record management, and archiving
Manage content on the Sales Portal; track additions and deletions of learning assets in a database; partner with developers to post new content, refresh existing content, and remove content no longer required
Ensure all content is approved, valid, and up to date
Manage the quarterly data load to ensure data files are cleansed and coordinated with the third-party vendor within contracted timeframes
Identify, track, and see issues through to resolution
Content Controls
Review daily control number reports
Develop test plans when new curriculum is launched; manage User Acceptance Testing and interface with the external provider on issues, results, etc.
Conduct ongoing process control reviews to determine what processes can be improved
Present suggested changes to existing process controls to management for approval
Assist with Sales Portal audits conducted by third parties (i.e. Internal Audit, Risk Management, etc.)
Submit content changes to Marketing Review for approval (MRU Process) for Sales Portal & Salesforce content design changes
Follow all standard project management protocols; work plans, status updates & reporting, issue escalation, change management
Ensure all approvals are in place (Principal review/signoff) and Business Owner agreement for changes/updates to the Sales Portal
Maintain all archive/historical documentation
CE Process Administration
Administrative liaison with Quest, Success CE, and B.E.S.T. (Super CE); respond to calls/emails as necessary including exception requests, new instructor filing/Questtrak access, and serving as the internal Pru point of contact
Respond to internal/external field requests
Provide recommendations to improve efficiencies and reduce costs
Produce Monthly/Quarterly metric reporting to leadership
Administers home study; email codes to advisors; track all activities and expenses; provide updates as part of monthly/quarterly reporting
Expense management, oversight, and analysis
Performs Sales Portal training and CE page traffic analytics and recommend changes to achieve improved website effectiveness
Responsible for crafting site promotions for new CE
Conduct CE/Questrak/BOLA/Success CE training calls for the Sales Desk on a quarterly basis or as needed
Serve as a historian and resource for past Continuing Education practices; coordinate annually with third party vendor for record maintenance
Qualifications
3 to 5 years Financial Services experience a plus
Strong knowledge of CE processes; state requirements, exception processing, home study, etc.
Content Management Systems knowledge, a plus
Experience with administration and processing in the Questtrak system
Basic HTML coding skills
Strong written & verbal communications skills
Strong proofreading and quality assurance skills
Project Management skills
In-depth knowledge of Quest CE and B.E.S.T. systems and processes, a plus
Ability to multitask and manage several priorities
Ability to meet tight deadlines
Ability to master new software/technologies
Series 6 required within 180 days of hire
