Job Description:

The Prequalifications Specialist is responsible for management of the firm’s prequalifications program which supports business development efforts. The position reports to the BD Services Manager and may receive direction from other BD services staff and/or other firm management, interacting with all levels within the company. The position requires excellent communication skills and willingness to learn new tasks regularly. Successful candidate will be able to assume complete responsibility for assigned tasks with appropriate direction.

Primary function of the position is the preparation, coordination and maintenance of firm’s prequalifications program, including assembling, coordinating and distributing required client prequalifications forms and information. Prequalifications program includes annual SF 254/330 updates, SAM (federal government) registration, and other client prequalification requirements. Additional responsibilities include marketing file management, maintaining information systems, and supporting the firm’s business development and marketing efforts.

Job Responsibilities:


  • Manages the submittal process from start to finish for all client prequalifications for the firm.

  • Serves as primary resource for information related to prequalifications status.

  • Documents maintains information on active prequalifications on intranet, providing key prequalification status details to technical staff on demand and ensuring timely renewals and application submittals.

  • Responds to requests for new prequalifications applications which includes assessing the level of effort, outlining required information and developing a project plan as needed to complete the prequalification submittal efficiently and accurately.

  • Maintains SAM.gov firm registrations and registrations on vendor management sites.

  • Manages annual government form updates (SF330, SF254, AE-2s).

  • Tracks and provides maintenance of firm licenses and certifications, including license audits and COI’s.

  • Updates and maintains Vision and SLICE marketing data, including MBE data, client/contact data and meeting notes (CRM) for the entire company.

  • Supports Vision searching and reporting requests, including project lists, contact mailing lists, etc.

  • Manages employee skills and professional license audits to ensure availability of necessary documentation for prequalification and proposal submittals.

  • Supports BD Team with requests for RFQ’s/RFP’s including licenses, certifications, and documents needed.

Other Responsibilities:


  • Able to work independently and to respond to requests from internal and external clients.

  • Is a team player, considerate of others, enthusiastic, and responsible for own actions.

  • Works well with all types of people under deadline situations.

  • Is proficient in MSOffice suite, with expert level in MS Word.

  • Adheres to Office Communication Protocol.

  • Manages multiple assignments under deadline pressure and, when necessary to meet deadlines, is willing to work extra time required.

  • Cooperates and assists others in the Marketing Services and Finance Departments as necessary.

  • Participates in continuous on-the-job training to sharpen job skills.

  • Enters timesheet daily and submits and delivers to immediate supervision by close of business on Friday.

  • Performs other duties as needed as approved/directed by Supervisor.

Required Skills/Experience:


  • Bachelor’s degree in liberal arts orientation or equivalent relevant experience.

  • Excellent verbal, written, and editing skills, as well as a strong attention to detail required.

  • Proficiency in MSOffice Suite required; expert level in MSWord preferred.

  • Experience with Deltek Vision and/or SharePoint systems a plus.

  • Ability to manage multiple assignment schedules and coordinate with others to ensure timely project completion.

  • Will work as part of the BD Services Group, but must be able to work independently.

Other Requirements:


  • Ability to pass a background check which may include criminal history, motor vehicle record and credit check

  • Ability to pass a pre-employment drug screening
