The "Communications Specialist" will be responsible for developing, facilitating, and implementing communication programs and activities aligned with the strategic objectives for Pennsy. The individual is responsible for designing, developing, and producing communication tools for internal and external audiences and will drive strategies related to internal and external communications including community relations, university relations, customer relations, crisis management, media, special events, and others. The individual will also support digital, marketing, and special project needs including video for the internal and external activities of Pennsy.
Key Responsibilities (Essential Duties and Functions)
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The job responsibilities include, but are not limited to:
Strategic Planning
Support the business in developing the communication strategic plan
Partner with the Pennsy Leadership Team to create communication plans from launch and execution
Strategy execution through all delivery methods including print, digital and video
Determines the best method/platform for communication based on audience and desired outcome
Analyzes and improves site communications to find new and effective methods to deliver information to different audiences.
Collaborate with cross functional teams and departments on providing necessary communication support for identified projects; including but not limited to conceptualize, write, edit and produce customized communication plan and marketing materials
Support various executive and senior leadership communications including announcements, presentations, speaking notes, and other senior leadership communications
Community Outreach
Manages the community programs and campaigns
Manage and oversee charitable donations including development and implementation of charitable donation policy and budget
Lead and support community outreach programs including partnerships in local communities and non-profit
Manage sponsorship requests
Support company store including order and delivery of company branded apparel
Ensure alignment of community outreach to Pennsy strategy
Communications
Serves as an internal communications resource to the business by:
Improving content effectiveness,
Maintaining internal communications protocol around consistency and formatting, layout and messaging,
Develop, design and script company videos with focus on safety, recruiting, branding and marketing,
Ensuring internal brand and voice is consistent with the Pennsy brand in both digital and printed communication tools.
Writes and edits copy for a wide range of purposes: internal communications, corporate intranets, newsletters, press releases, position papers, executive bios, speeches, articles, posts for internal and external social media, slides for presentations, and similar collaterals
Ensures planning and execution of internal communications for the lines of business, including but not limited to organizational changes (incl. organizational notices, change management, etc.)
Partners as needed with cross-functional teams to create communication plans for initiatives and events.
Partners with leaders and HR on promotions, org-structure and new employee communications content and build.
Supports HR with recruiting material and marketing.
Monitors Interchange for report analysis, updates posting guidelines, assigns new users, updates passwords and maintains site. Ensures all content published on our site is current and relevant.
Participate and speak at local and regional events, charities and community outreach programs to increase awareness of the organization.
Advises and makes preparations for corporate public speaking needs and opportunities (incl. social media opportunities)
Supports reputation management and business public speaking opportunities (incl. social media opportunities, trade shows, conferences, panels, etc.)
Ensures compliance of all logo/brand applications
Coordinate with external vendors as needed for support on deliverables
Employee Engagement
Supports the business with the creation of quarterly employee communications as it relates to the business performance.
Partners with appropriate stakeholders to secure planning and execution of communication and engagement plans to support functional initiatives.
Supports the creation and delivery of monthly newsletters.
Manages maintenance, posting guidelines and all reporting for our Interchange.
Support onboarding program including creation of content to formalize and streamline onboarind program virtually through different media including video
Support university relations including partnering with universities, developing content including flyers and presentations for information
Digital and Marketing Communications
Supports Pennsy with all requested digital, marketing and other deliverables to support all business lines or areas (corporate functions, geographies, etc.). This includes but is not limited to artwork and design, slides, banners, infographics, photos, videos, images, editing, creative writing
Provides technical support for all internal digital channels (social media, external websites, intranets, communities, newsletters, etc.)
Contributes to the implementation of the Search Engine Optimization (SEO) campaigns on external platforms
Contributes to develop external website and ensure continuous maintenance of these assets
Supports sponsorships and tradeshows (concept & deliverables - print & digital)
Supports public-speaking initiatives through social media, collaterals, materials, etc.
Minimum Qualifications
Bachelor’s Degree in Public Relations, Communications, Journalism or related field
Proven ability in writing, editing and strategic planning.
3 to 5 years of experience in communications or marketing or a similar role
Understanding of Adobe Creative Suite products, specifically Adobe Photoshop, Adobe InDesign and Adobe Illustrator
Familiar with video production and editing
Solid experience in publishing, web and social media tools/platforms
Experience in CMS platforms for websites, specifically Google Sites, LumSites and Drupal
Experience managing photoshoots and assets
Demonstrated copywriting and editing skills in English language (AP Stylebook)
Excellent communication (oral and written) and presentation skills
Outstanding organizational and planning abilities
Comfort with managing multiple, aggressive deadlines
Eye for design
Successful project management and decision-making skills
Keeps up with current and possible future practices and trends.
Scans environment for technical skills, knowledge or capabilities that can benefit business.
Proven ability to develop relationships and to work with cross functional teams at all levels within the business.
Preferred
Experience writing communications for corporations, agencies and organizations, including speeches, reports, articles, brochures, web
