Overview

The Administrative Assistant to Asset Management provides comprehensive support to the Executive Vice President, Senior Vice President and Vice President department leaders as well as team members. The Administrative Assistant works independently, performing a wide range of administrative and clerical support duties. The position requires excellent organization, communication and interpersonal skills, and the ability to provide timely information and services to a wide range of internal and external clients.

Responsibilities

* Assist with daily operations and projects.

* Organize, file and archive the Acquisition and Diligence files in the central file room on a regular basis.
* Set up data site links which includes being responsible for downloading and maintaining all the files/documents being provided to us from outside sources and keep site updated on a daily basis. Interact with the seller analyst for the format of data management and access set up.
* Assist uploading and sending all files/documents to attorneys, brokers, etc.
* Manage closing documents including circulation for signatures, preparation for courier and follow through.
* Schedule transition meetings among all parties to transaction.
* Update and follow up on tasks to ensure progress to deadline.
* Post-closing file maintenance.
* Keep projects on schedule.
* Provide administrative team coverage as needed.

* On/off boarding of users and properties in VTS.
* Compile relevant information including broker contacts for press releases.
* Print and distribute Capital Allocation Committee memos to Executive Committee and REIT officers.

Travel:
* Arrange air/hotel/car travel through Concur.
* Prepare itinerary, trip files, expense report tools prior to travel.
* Complete expense reports upon return.

Calendar/Meeting:
* Maintain calendars for leadership team members.
* Arrange meeting facilities and order food as needed, including annual budget meetings.
* Coordinate logistics of internal and external meetings including meeting invites, calendars coordination, meeting rooms, conference call information, agendas

Projects:
* Prepare documents for new deals.
* Handle administrative details of all projects.

* Assist with additional assignments that may be requested take initiative in lending assistance to other members of the team.

Qualifications

* Bachelor's degree; minimum 3.0 GPA.
* 5+ years' experience supporting senior executive, preferably in commercial real estate.
* Proficiency with Microsoft Office and Adobe Acrobat.
* Excellent written and verbal communications skills. An assessment will be administered for computer and communications skills.
* Strong administrative skills with the ability to proactively keep projects on schedule.
* A high level of organization, thorough attention to detail, and ability to multitask.
* A team player with a client service attitude toward immediate team and company members.
* Impeccable follow up skills and commitment to keeping staff informed of status of projects and completed tasks.
* The ability to exercise sound judgment and discretion, particularly with sensitive non-public information.
* Ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
