Position Description: Provide administrative support to
the Nashville Business Unit. Responsible for performing diversified and
confidential administrative duties requiring comprehensive experience, skills
and knowledge in supporting executives and ensuring efficient operation of the
office.

Reports To: Nashville Business Manager; Supports other
local leaders.

Essential Duties & Responsibilities
Office Leadership Support
Maintain executives' calendars (vacation dates, schedule/confirm meeting dates, adjust as conflicts arise, etc.)
Prepare and edit correspondence, communications, presentations, and other documents as assigned in a timely manner.
Keep track of when recurrent reports are due and meetings are scheduled, including maintaining lists of recipients and/or participants.
Using Concur, complete monthly expense reports timely and accurately.
Coordinate and arrange travel, using executive travel preferences; including but not limited to flights, hotel accommodations and transportation, and preparing itineraries.
Complete projects and special assignment, as needed, by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving and adjusting plans. Communicate necessary details to Business Manager during the process.
Act as a liaison between Business Manager and others (i.e., Departments, external contacts, subcontractors, clients, etc.)
Plan, coordinate and support business unit related activities and events in coordination with identified co-planning team.
Screen and return calls with diplomacy.
Use sound judgement to handle items not requiring an executives attention.

Office Management
Process incoming mail: open, stamp, sort and distribute. Distribute courier packages, process shipment and/or drop off outgoing mail and packages.
Order and maintain stock of office materials and supplies; replenish as necessary or requested. Oversee the operation of office equipment and maintenance needs.
Set up and maintain files, including hard-copy and electronic files.
Manage conference room requests and schedules.
Maintain common areas
Act as a liaison and point of contact for property manager and building maintenance vendors.
Act as point of contact for local vendors and accommodations

o Catering/lunch
orders

May perform other duties as assigned.

Qualifications
Five
or more years' experience in general office responsibilities and procedures and
executive support. Must have good judgement, attention to detail and accuracy,
and ability to maintain confidentiality. Have a strong working knowledge of
Microsoft 365 and Office Suite, including Word, Excel, PowerPoint, Outlook,
SharePoint, Teams and OneNote; PowerBI helpful. Experience in Concur Expense
Reporting. Must be able to work as a part of a team as well as independently.
