POSITION SUMMARY

The purpose of this position is to provide support to the Senior Director-Tax Accounting & Reporting, Director-Tax Risk Management, and designated deputies. Duties include obtaining signatures and mailing of Canadian, U.S. federal and state tax returns, processing tax payments, preparing simple journal entries, maintaining schedules related to due dates, expiration dates, and approved signatories, maintaining digital and hardcopy files/filing, providing general administrative support for the Tax Team and managing assigned programs to meet Tax Team and Corporate objectives.  Training is provided during an extended on-boarding period.

CUSTOMERS AND CUSTOMER EXPECTATIONS:

The primary customers are the Senior Director-Tax Accounting & Reporting, Director-Tax Risk Management, and Senior Manager Tax Reporting, secondarily the entire Tax Team with primary focus on the Reporting and Defense teams. The incumbent has extensive contact with the Accounting, Finance, Legal, Treasury, and Supply Chain/Procurement Departments as well as outside financial consultants and tax auditors. The incumbent must provide confidential administrative support and maintain effective working relationships with staff members to ensure work assignments and business objectives and goals are achieved. The incumbent should exhibit a professional and responsive attitude that demonstrates the Corporation’s commitment to quality.

A high degree of responsibility is involved in the performance of the duties associated with this position. Duties include preparing a variety of financial and corporate documents and maintaining accurate files. Materials and information must be organized, prepared, distributed, and filed to maintain an effective communication and information system within and outside the Tax Department. Responsibilities encompass a wide scope and complexity; potential problems must be anticipated and corrective action taken. The work demands an in-depth knowledge of the Corporation’s policies and procedures, team members’ approval limits, and the ability to exercise independent judgment to ensure they are applied equitably and consistently. The incumbent works independently with guidance on matters of an exceptional or unusual nature. Work handled is often confidential.

MAJOR RESPONSIBILITIES

Process Canadian, U.S.  federal and state consolidated and separate legal entity tax returns including quarterly estimates, extensions and amended tax return filings for signature, obtaining signatures, and filing returns by the due dates.  Processing tax payments manually or electronically (using external bank payment system) by due dates.  Preparing monthly journal entries.  Performing certain Canadian tax calculations.  Organization is key to ensure deadlines are met as 50+ returns/payments could be in-process/due in a short period of time.

Maintaining and communicating the statute of limitations schedule for US federal and state audits and refund claims.  Preparing and updating Powers of Attorney with US federal and state tax authorities and Canadian Business Consent Forms.  Assist with various administrative tasks with respect to the Company’s IRS, state and Canadian tax audits, including communication with auditors, as requested by the Defense team, and maintaining federal tax audit results in CorpTax software.

Proficiency in Company procurement policies and procedures, including ability to execute all aspects of purchase orders and associated tasks. Willingness to work with Procurement organization and others to continuously improve the purchase order processes relevant for the Department. Organize, prepare, distribute, and file materials and information to help establish and maintain an effective communication and information system within the Tax Team. Maintain current documentation of Tax Team Administrative procedures, make suggestions and, upon approval, implement new office procedures to improve efficiency. Manage the Tax Team’s records to ensure accurate filing and prompt retrieval of documents, including off-site document storage. Exhibit teamwork by reallocating resources within the Administrative staff team during workload peaks across the COEs, including taking on special projects when requested. Leverage technology to increase efficiencies. The Corporation’s tax processes will be improved by being proactive and leveraging skills to standardize processes, increase efficiencies, and assist in meeting Department objectives. Maintain a personal development plan to ensure continuous improvement of administrative skills. Where appropriate, expand educational scope through involvement with administrative professional organizations and service provider networking opportunities. Maintain a proficiency in desktop computer applications such as Microsoft Word, Excel, PowerPoint, and Visio. Maintain similar proficiency in use of internal Company software and other systems. Exhibit a willingness to learn new systems. Understand and comply with Sarbanes-Oxley regulations, internal controls and tax policies. Assist the Tax Team in special projects, as requested by the Senior Director-Tax Accounting & Reporting, Director-Tax Risk Management, and Senior Manager Tax Reporting and their deputies. Special projects may include, but are not limited to, development of systems or procedures to improve the efficiency of the Tax Team or support Company initiatives. Communicate within and across Tax COEs. Communicate fully in a timely, informative, and accurate manner with superiors/peers/subordinates and others who have a need to know.  Maintain excellent oral, written and presentation skills. Provide exceptional customer service throughout the Corporation. Maintain ability to perform duties of a notary public, and where needed, the willingness to train and apply for notary public certification. Conduct all activities in a safe manner and maintain safety in the general work environment.

KEY QUALIFICATIONS AND EXPERIENCES

  • A high school education with advanced administrative level training required. An Associate’s degree in Accounting or Finance (or other relevant field) preferred.

    • With a high school education: a minimum of 5-7 years of office experience, preferably within the Company, including a high level of administrative skills and several years’ experience supporting management, is typically required, or an equivalent combination of training and experience.

    • With an Associate’s degree: a minimum of 1-3 years of experience (past para-professional experience or experience within the Company, preferred).

    • Excellent administrative skills that necessitate exceptional knowledge of spelling, grammar and punctuation.

    • Must be skilled in the use of personal computers and desktop applications including, but not limited to, Microsoft Word, Excel, PowerPoint, the internet and Visio (Microsoft Teams and CorpTax experience is a plus).

    • Personal characteristics are important, including (1) the ability to deal with people with tact and good judgment, (2) the ability to communicate effectively orally and through written correspondence, (3) initiative, excellent judgment, organizational skills and the ability to act independently, (4) the ability and willingness to work under pressure of deadlines with conscientious attention to detail in a position that often requires expedient and accurate simultaneous discharge of a variety of duties and (5) comfort being exposed to confidential data and the ability to maintain the confidentiality of such data at all times.
