Small, collegial group of six in-house lawyers seeking full-time Paralegal/Executive Assistant to assist in managing the legal workload for a large, privately held company in downtown Salt Lake City, Utah. Position reports to the General Counsel of the Company, and is responsible for providing high-level administrative support to the General Counsel and the legal team by conducting research, preparing reports, handling information requests, managing contract and document tracking, litigation support, and performing administrative functions such as preparing correspondence, making corporate filings and corporate record-keeping, among other matters.
Qualifications:
At least 4 years’ experience as an executive assistant to attorneys or as a paralegal
Experience interacting with and managing projects for c-suite level executives
Demonstrated abilities to:
spearhead, operate, and manage software programs for tracking contracts and document management
manage legal department budgeting, accounting, bill-paying and expense reports
absolutely keep confidences, and exercise strong judgment regarding same
effectively organize, maintain and locate legal files and forms
pay careful attention to detail
Strong organizational and communication skills
Best in class Office 365, Outlook, Word, Power Point and Excel skills
Self-starter that is loyal and looks for ways to benefit the company without direction or supervision
Positive, professional, can-do attitude, and willingness to pitch in regardless of task to get the job done
High ethical standards
Team player that is patient and calm in the face of multiple tasks or demands on time
Paralegal certificate a strong plus
Real estate or corporate experience desired but not required
Job Duties:
Support six in-house attorneys on projects and tasks as directed
Operate and train others on legal department software programs for contract and document management
Track litigation filings and deadlines, other important calendaring functions
Manage service of process notifications
Manage state licensing and corporate renewals across multiple states
Proofread, format and edit documents and presentations
Type reports, memos, letters and other documents
Answer phone calls and direct calls to appropriate parties or take messages
Attend and keep records for various meetings, coordinating/follow up on action items
Greet visitors and guests
Perform general office duties including opening, sorting and distributing incoming correspondence
Help attorneys meet Continuing Legal Education and licensing requirements, maintaining records and making requisite filings
Occasional assistance in making and booking travel arrangements
