Duties and Responsibilities

* Works independently and with the Assistant Provost and Director of Faculty Administration to manage and maintain the annual appointment process for all full- and part-time faculty within the Health Sciences Campus

* Works with the Faculty Data Coordinator to maintain accurate and up-to-date faculty records for faculty and postdoctoral Research Associates; and track all appointments as they progress through the OFA and School- and University-based committees

* Prepares materials for and staffs the monthly meetings of the SSOM Committee on Academic Rank and Tenure; corresponds with committee members; reviews and ensures accuracy of materials submitted by nominating departments

* Communicates regularly with basic science and clinical department administrators, department chairs, deans, and other University departments and external organizations regarding faculty appointments and inquiries

* Drafts and ensures accurate and timely correspondence regarding faculty and academic appointments and updates on behalf of the Provost, Dean of SSOM, Dean of MNSON and Dean of Parkinson School.

* Manages annual faculty evaluation process and related functions of the Faculty Information System

* Manages and conducts training sessions for the annual faculty promotion and tenure process; serves as liaison to the University Rank and Tenure Committee. Utilizes the Interfolio platform.

* Maintains faculty files for SSOM and manages department e-mail account

* Plans and provides support for new faculty orientations and other faculty events

* Serves as a resource regarding School- and University policies pertaining to faculty; provides support for faculty appointments, reappointments, and terminations

* Contributes to enhancement of office processes, procedures and documentation

Minimum Education and/or Work Experience

Bachelor's degree and 1 to 3 years of previous job-related experience required.

Qualifications

Bachelor's Degree with 3-5 years of experience. Advanced proficiency with Microsoft Office programs. Solid knowledge of HR policies and best practices, preferably in an academic setting. Excellent problem solving, organizational skills and attention to detail and be able to prioritize competing deadlines. Superior interpersonal skills with the ability to communicate effectively (verbally and written) in a demanding environment with multiple interruptions, and handling frequent requests for information are also essential. Ability to work both independently with discretion and collaboratively as part of a team; should have tact and diplomacy; be flexible and professional at all times with sound judgement, discretion, and humor. Previous experience in higher education, healthcare, human resources, or related field preferred.
