The Workplace Services Lead supports the Workplace Experience team at our Petaluma office in developing and implementing a top tier Calix experience. From supporting team meetings to engaging with employee's day to day needs the Workplace Services Lead is an important position that helps reinforce Calix culture and values. This role is for a person who can act quickly to solve problems, be a friendly face to those that need help, work independently most of the time and be an ambassador of Calix's culture to everyone who comes onsite in Petaluma.
Responsibilities:
Workplace Services
Serve as the go-to person for all office needs
Maintain a clean, organized, functional and comfortable office space
Maintain the facilities and be the liaise to the landlord and other office vendors
Order and manage office and kitchen supplies
Manage incoming and outgoing mail/ shipping for the site
Coordinate site events (allhands, holiday parties etc)
Administration of trouble tickets
Vendor Management and Office Support
Coordinate with the Accounts Payable department to generate purchase orders for approved vendors
Develop and maintain vendor relationships (office supplies, food and beverage, etc).
Periodically assess vendor terms and conditions to determine when we should rebid services to ensure competitive pricing
Help iterate on site budgets for offices supplies, services, and food/beverage programs.
Professional work experience in an office or workplace office support role
Strong organizational skills, detail-oriented, and ability to handle multiple and changing priorities in fast-paced office environment
Excellent written and oral communication skills
Passion for being a creative and positive problem solver
Ability to triage requests and problems in a fast-paced office
Experience collaborating with all levels of the organization, from management and employees to vendors/contractors
Experience with Microsoft Office, Concur, Oracle Cloud, and other office administration software is a plus
