THIS IS A REMOTE-BASED POSITION LOCATED ON THE EAST COAST.
Calix is seeking an Executive Assistant based in US or Canada to support members of our Executive Leadership Team. Candidates who have experience supporting executives in a remote work environment are strongly preferred. From your home office (as part of Calix's Work From Anywhere culture), you will report into the Executive Assistant Team Leader and join an exciting and engaging team!
Responsibilities include:
Prior experience supporting a Talent and Culture or Human Resources executive a Plus"
Manage the Executive's daily calendar
Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly using good judgment and discretion in assisting Executive(s) in managing interruptions, time commitments and priorities
Prepare Executive(s) for all internal/external meetings, including research and documentation to support Executive(s) for positive meeting outcomes
Maintain confidentiality of highly sensitive information
Manage complex office administrative work requiring the use of independent judgment and initiative including interpreting requests, implementing actions and partnering closely with assigned Executive(s) to ensure projects are kept on track.
Act as Executive's Liaison with internal Business Unit Leaders and Business Partners and be a communication conduit for Executive(s) with internal and external parties
Organize programs, events, meetings, or conferences by arranging facilities and caterers, issuing invitations, disseminating information, coordinating speakers and controlling event budget
Arrange travel itineraries, reconcile monthly business expenses and create purchase requisitions
Provide back-up to other EA team members, as needed
Execute on various ad-hoc projects, as requested
Qualifications and Skills:
BA in business (or equivalent) or 6+ years work experience
4+ years of solid, senior level (C-suite or equivalent) executive support experience
Self-starter, self-motivated, discrete, collaborative and able to also work independently
Very strong interpersonal skills and the ability to build relationships with key stakeholders
Excellent written and verbal communication skills
Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, Zoom and social media web platforms
