Position Title:Part Time Administrative Coordinator

Department:Office

Report to:Director of Transportation

Job Summary:

Northeast Foods, Inc is looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace.

To be successful as a Part Time Administrative Coordinator, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. The Administrative Coordinator must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, Administrative Coordinator should have a genuine desire to meet the needs of others.

Primary Job Duties:


  • Handling office tasks, such as filing, photocopying, faxing, collating, generating reports and presentations, setting up for meetings, and reordering supplies.

  • Providing real-time scheduling support by booking meetings and conference rooms to prevent conflicts. Handle lunch arrangements, such as ordering and setting lunch.

  • Greet, assist visitors and announce them appropriately to designated party while maintaining security by following procedures and controlling access.

  • Screening phone calls and routing callers to the appropriate party. Provide basic information when needed.

  • Receive, sort and distribute daily mail/deliveries/couriers.

  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.

  • Assist transportation department in updating and maintaining record keeping spreadsheets for driver routes, D.O.T. driver documentation and vehicle fleet.

  • Responsible for the record keeping of all performed Audits, as well as the weekly and monthly KPI's for all locations.

  • Lead for compiling and putting together the monthly staff office presentation for all departments.

  • Follow established company policies and procedures

  • Maintain polite and professional communication via phone, e-mail, and mail.

  • Anticipate the needs of others in order to ensure their seamless and positive experience.

  • Perform other duties as required.

Essential Job Functions/Requirements:

Experience:Prior administrative and receptionist experience a must.

Education:Associate's Degree in related field preferred.


  • Excellent computer skills, proficient with Microsoft Office, Excel, Power Point, Outlook.

  • Solid communication skills both written and verbal

  • Ability to be resourceful and proactive in dealing with issues that may arise

  • Ability to organize, multitask, prioritize and work under pressure

  • Able to read and comprehend verbal or written instructions, signage, warnings, basic literacy skills

  • Able to able to use a computer and enter information into the computer.

  • Able to perform basic math

  • Able to operate and maintain required office equipment

  • Professional appearance.

  • Attention to detail.

  • Regular and punctual attendance required to meet essential functions of job responsibilities.

  • Desire to be proactive and create a positive experience for others.
