City Experiences is seeking a Summer Event Coordinator for our City Cruises operation in Boston.

About the Opportunity:


The successful Summer Event Coordinator should be willing to work and learn about the event and sales processes, be hospitable and cordial to vendors, guests, and their co-workers. They must have a passion for serving guests and creating unforgettable events as well as a high attention to detail.


About You:


This person will be adaptable, dynamic, and embody City Experiences’ RESPECT Service System.


Essential Duties & Responsibilities:



  • Coordinate the cruise event with the Sales, Food & Beverage, Operations, and Administrative Departments once the sale has been finalized.

  • Act as the liaison between the Company and special order vendors.

  • Develop comprehensive knowledge of product offerings, product extras, pricing and scripting for all standard products.

  • Obtain all information related to a cruises from the sales team and individual call center.

  • Coordinate all components of a cruise including tickets, bar packages, photo packages, and other special event orders.

  • Place special event orders with appropriate, approved outside vendors.

  • Perform pre-cruise calls to confirm final group counts and to finalize any last minute event details including menu, bar packages, entertainment and other special requests.

  • Upsell to customer who already have cruises booked.

  • Ensure complete and accurate product details are communicated to the F&B and Operations Departments to ensure proper execution of the product promised.

  • Ensure communication is done in a timely, efficient manner.

  • Solicit input and works with Director of Sales and other appropriate sales team members to finalize product offer details as necessary.

  • Meet and board large groups when they arrive for their cruises. On occasion, may be required ride the cruise with the larger groups, especially full deck and full ship charters, to help ensure outstanding product delivery.

  • Provide prompt responses to customer inquiries.

  • •Document customer interaction in EBMS and Salesforce, the Company’s sales databases.

  • Participate in the weekly “two-week” meeting.

  • Attend other pertinent meetings as requested.

  • Ensure customers are billed correctly for all extra services provided according to the signed contract.

  • Print weekly reports.

  • Maintain good organizational skills through time management, setting priorities, and accurate paperwork.

  • Additional job duties as assigned.

Requirements & Qualifications:



  •  Minimum of one (1) year of previous customer service experience.

  • Minimum of two (2) years related industry experience.

  • Communicate effectively in oral and written form.

  • Maintain high level of organization.

  • Be detail oriented.

  • Handle multiple tasks/projects at one time.

  • Focus on customer needs.

  • Meet deadlines.

  • Establish and maintain effective working relationships as required by job responsibility.

  • Listen effectively, assesses the situation, determine relevant issues, & suggest solutions.

  • Work with Microsoft Office applications (especially Word).
