POSITION SUMMARY:

The Executive Assistant provides administrative support to President/COO and Executive Staff and is a liaison between Morgan Corporate office and JBPCO, parent company, in Houston.

The successful candidate applies specialized knowledge across various disciplines to manage daily business/office activities. Cultivates and maintains inter- and intra-organizational contacts. Preempts potential problems. Performs clerical work and minor administrative and business functions.

KEY DUTIES & RESPONSIBILITIES:

  • Accepts/rejects meetings as necessary. Provides itineraries and prioritizes as necessary.
  • Acts as point of contact for all employees seeking meetings with the President.
  • Manage offsite meetings for executives, coordinating travel and logistics for attendees as required.
  • Sets up internal meetings for the President, including all recurring meetings. Responsible for tracking and rescheduling all internal meetings.
  • Take and distributes meeting minutes and actions as necessary.
  • Arrange, setup and coordinator all Morgan Town Halls.
  • May prepare and consolidate presentation materials and/or reports using word processing, spreadsheets, and/or PowerPoint presentation software.
  • Creates and updates itineraries as necessary. May assist visitors with hotel and other arrangements.
  • Gathers all receipts/expenses and ensures expense reports fit within policy and guidelines. Follows up to ensure timely payment.
  • Manages Executive MS Teams site and file management.
  • Manages and publishes all organizational charts and distributes appropriately.
  • Follows up to ensure payment.
  • Take all incoming calls for the President in professional and accurate manner.
  • Track training for the Exec staff.
  • Appropriately manage confidential information including personnel information.
  • Coordinates site wide activities, acting as administrative lead for the site.
  • Maintains comprehensive and accurate corporate records, documents and reports.
  • Supports onboarding of new employees.
  • Manages all office supplies, ensuring that supplies are readily available and that budget is met.
  • Provide Notary Public Service to the Corporate Office.
  • EXPERTISE REQUIRED:


    • Associate's degree in Business required; Bachelor's degree in Business or a related field is preferred.
    • Minimum 5 years as an administrative assistant or 10+ years of successful experience in a related position.
    • Ability to act as gatekeeper and escalate relevant information to executives as needed.
    • Ability to treat confidential information with appropriate discretion.
    • Time management and ability to meet deadlines.
    • Strong interpersonal skills with excellent verbal and written communication skills.
    • Exceptional attention to detail with strong organizational skills and ability to multitask.
    • Strong problem-solving and decision making skills.
    • Ability to work effectively with minimal supervision.
    • Competent personal computer and IT skills. Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, projectors).
    • Proficient in Office 365 including Word, Excel, Outlook, PowerPoint as well as collaboration tools such as MS Teams
    • Some travel may be required

    PHYSICAL REQUIREMENTS:

    Working in an office environment in a seated position a minimum of eight hours per day is required.
