This position will be focusing primarily on our Motive Power applications, which include industrial lift trucks and pallet jacks, rail equipment, mining equipment, and airline ground support equipment. Job Purpose


The Verification & Validation (V&V)Projects Coordinator carries out the day-to-day tasks as established by the project teams. This individual will supportthe administrative functions of the V&V group.


Essential Duties and Responsibilities


Supports and provides reports of schedule issues, resource issues, and roadblocks into a single report structure of the combined efforts of the various segments of the global team to be reported to management. The functional areas of responsibility include but are not limited to:


  • Convert quotes from vendors to POs including all the BAAN and supplier coding and acquiring the appropriate approval signatures.

  • Submit and track the progress of Ar's and AR changes through the AR approval process.

  • Track spending against ARs and put cash flow numbers into Excel sheet for finance for a quick review of budgets and scope creap and supply info to rest of company as needed.

  • Track POs so that invoices are paid on time and when it becomes appropriate to pay. For example, due to needing to book some test houses way in advance, there can be a 12-month difference between when a PO is issued and when the invoice needs to be signed in order to pay the test house.

  • Follow up on POs with regular requests for timing from vendors to catch issues with receiving materials sooner rather than later.

  • Schedule and track shipments of test products, and materials to various test houses and other Enersys sites.

  • Receive training in IMDG (International Maritime Dangerous Goods) codes for the shipment of lithium batteries and supply paperwork to V&Vteam and schedule the transport of lithium-based products.

  • Procure required documentation and file NDA submittals with new test houses and vendors through the Enersys automated system.

  • Add new suppliers to the Approved Vendor List. (Procurement signoff, tax documents, online submittal).

  • Support schedule generation with the various projects within the V&Vgroup and then maintain a master schedule of all projects and resource allocation coordinating with the V&V Sr. Director and functional managers of the projects to ensure the schedules remain on track.

  • Provide work-load actuals vs projected hours reports to determine variances in work-loads that could impact resource support.

  • Upon notification to UL Standards Technical Panel and IEC Technical Panel members, coordinate the administrative duties to coordinate and collect comments and requested changes of said requirements documents throughout the Global V&V team and provide those to the STP and IEC member for submittal.

  • Provide administrative support to the V&Vteam as needed.

  • Become a Subject Matter Expert in Windchill, to upload and release of VeVa documents and data packages and track the status of the release progress.



Qualifications


Experience Required:


  • 2-year AA degree in a Business Administration, Project Management Certificate or related discipline. Maybe offset with experience of 5+ years.

  • Coordinating and planning department activities and interfacing with multi-departmental groups and coordinating activities based on the audience.

  • Must have excellent interpersonal skills in working in a high-stress team environment.

  • Ability to work independently, and with test teams.

  • Hands-on experience in a fast-paced environment.

  • General knowledge of documentation and release process to start.

  • Good working knowledge Microsoft Office applications such Word, Excel, and PowerPoint.

  • Track department budget.

  • Manage new hire onboarding.

  • P-Card management (ordering for entire department).


Preferred:


  • 4-year degree in Bachelor of Arts or Administration, with an emphasis in project management from accredited college or a project management certification with 2 years PM experience.

  • Experience in Microsoft Project.

  • Experience in construction and presentation of status material to various people or groups.

  • Ability to handle multiple tasks simultaneously and to set own priorities based on department priorities.

  • Excellent skills with Microsoft Office applications. Word, Excel, Point.
