Position Assistant Event Operations Manager
Primary Responsibility

Reporting to the University's Event Operations Manager, the Assistant Event Operations Manager assists with providing leadership, structure, operational management and support for the Event Operations division of Lipscomb University's Event Management Department. They are involved in the planning, set-up, execution and breakdown of events in a variety of on-and-off campus venues. From ensuring the proper set up of venues, to supervising staff, the Assistant Event Operations Manager takes a hands-on approach, while ensuring the Event Operations team is meeting all Lipscomb University Event Management service standards.


This position will work a more traditional second shift schedule (approx. 11:00am-7:30pm). Schedule flexibility is crucial as the event schedule creates the need to work later evenings and weekends, as needed.


Job Related Skills

* Thorough knowledge and understanding of concepts, principles and practices of event management, including event planning, execution and production

* Exceptionally strong organizational and time management skills

* Demonstrated competency in budget management, estimate and invoice creation and vendor contract relations

* Detail-oriented with the ability to prioritize and complete simultaneous projects

* Ability to work collaboratively and professionally with a diverse group of colleagues, vendors, students, volunteers and the public

* Experience using, or aptitude to learn, computer scheduling software: EMS experience strongly preferred

* Must be able to work a flexible schedule that may include some evening and weekends based on the event schedule

* Able to push, pull and lift moderate to heavy weight consistently throughout the shift

Typical Duties and Responsibilities








Description of Tasks Performed

* Ensure accurate setup and strike of all venues for events

* Lead, motivate and coach employees including Event Operations Coordinators and Event Operations Assistants (made up of temporary labor and student workers)

* Manage inventory of both owned and leased furniture, equipment and resources

* Attend event meetings to ensure effective coordination and cooperation between departments

* Observe physical condition of facilities and equipment and make recommendations for corrections and improvements as needed

* Develop and maintain relationships with clients, vendors and suppliers

* Analyze successes and failures and implement creative solutions to improve departmental outcomes

* Serve as on-site lead for Event Operations during events when needed (often during weekends and evenings)
