Purpose:

~ The Sr. Associate, IT Operations Budget and Purchasing Administration will serve a key role supporting the IT Strategy, Digital Business Planning and Connected Car organizations (DBPCO). This position will assist with IT and DBPCO budget planning and management, actual spending tracking, and purchasing support for the organization. In addition, this role will review IT scope documents for alignment with project strategy and budget.   

 

Major Responsibilities:

~ Assist in the development of the annual DBPCO budget.

~ Coordinate with leadership to prepare and submit monthly accruals and annual budget. Provide detailed reports to leadership with recommendations/explanations as to variances and necessary corrective actions. 

~ Assist in the development of databases and analytical reporting utilizing Tableau software for budget and actual spending, and purchase order tracking and monitoring.

~ Work with DBPCO leadership to onboard new vendor relationships, create purchase orders  and related metrics.

~ Serve as the primary point of contact for the DBP budget for Accounting & Finance requests and ensure timely monitoring, reconciling and reporting of all aspects of DBP budget.

~ Work with HMA’s outside IT service vendor (HAEA) as well as Finance to address budget issues, and create predictability for routine operating expenses charged to HMA including proper allocation between HMA, GMA,  and other affiliate organizations.

~ Assist with the implementation and monitoring of contracts between DBP and its vendors to the extent directed by division leadership.

~ Assist members of HMA staff with queries and problems arising from IT service providers.

~ Provide assistance in researching and analyzing division related information when necessary.

~ Provide a variety of other administrative and project support for the department as assigned by division staff.

 

Authority:

~ Create departmental purchase orders through SAP

 

Education:

~ Must be a high school graduate.

~ Bachelor’s degree preferred. A Finance, accounting or business background is a plus

 

Related Experience:

~ Four to five years of experience of which at least three years of directly related experience in purchasing/vendor management, finance, accounting or a similar role.

~ Two plus years of experience developing and maintaining departmental budgets desired.

 

Skill/Knowledge:

~ Strong analytical skills and mastery of analytical tools (e.g. Excel, etc.).

~ Experience with budgets and financial reconciliations.

~ Ability to manage by influence as well as authority.

~ Ability to multi-task and set priorities.

~ Strong written and oral communication skills.

~ Proficiency with MS Office (Access, Excel, Word, PowerPoint) required.

~ Knowledge of SAP and Tableau is helpful but not required.

 

Physical Requirements:

~ Normal Office duties.
