SUMMARY OF POSITION:

The Computerized Maintenance Management Administrator supports the Maintenance, Facilities and Engineering group with CMMS documentation and oversight of the system. S/he will be responsible for the daily process of maintenance and calibration documentation.

ESSENTIAL FUNCTIONS:


  • Ensures information is accurately loaded into the CMMS system and the loading process is adhered to.

  • Review and approve information addition and change requests prior to adding to the CMMS.

  • Tracks and communicates departmental KPI's such as PM completion rate, schedule attainment, CM backlog, etc.

  • Assists with documentation filing for the maintenance department, to include calibration reports and PM reports.

  • Maintains visual boards including creating graphs and templates.

  • Pulls weekly PM list and updates scheduling boards accordingly.

  • Performs data entry for mechanics, when needed- Labor, comments.

  • Generates purchase requisitions for supplies for the groups.

  • Provides Maximo training for employees.

  • Generate reports from Maximo as required or requested.

  • Excellent organizational skills.

  • Ability to prioritize, schedule, and logistically support multiple projects in a fast-paced environment with tight deadlines

  • Assist with planning and scheduling of annual shutdowns in the CMMS.

  • Manage and improve the CMMS system as needed.

  • Develop and enhance new and current workflows for the CMMS operations.

DEPARTMENT SPECIFIC/ OTHER RESPONSIBILITIES:

  • Supports the site safety program through participation in observations and training.

  • Accurately enters all required information on work orders.

  • Must have a working knowledge of maintenance practices and the CMMS system.

MINIMUM REQUIREMENTS:

Education required/ preferred:

High School Diploma / associates degree in management related field

Experience:

Admin support role in a maintenance environment

Preferred Skills/Qualifications:

CMMS experience

Skills/Competencies:

MS office suite including Outlook, Access, Excel, Word and PowerPoint

Other Skills:

Experience with Maximo CMMS.

ORGANIZATIONAL RELATIONSHIPS/SCOPE:


  • Reports to Maintenance Manager.

  • No direct responsibility exists for the work of others, although adherence to the team concept requires mutual assistance in some jobs.

WORKING CONDITIONS:


  • Mostly office environment with frequent travel between buildings.

  • Must be able to go up and down several flights of steps on occasion.

  • Must be willing to wear required PPE including hard-hat, steel-toed shoes, safety glasses, and any other devices or equipment that is required.
