Job Description


Summary of Duties: The Training Records Technician is a key member of the Hanford Patrol Training Academy (PTA) Staff. The Training Records Technician reports directly to the PTA Training Manager and is responsible for ensuring accurate, timely and compliant training records management (quality control, compilation, upload, storage and retrievability). In addition, the Training Records Technician acts as liaison between the PTA and the Hammer Training Center. On a quarterly basis, the Training Records Technician supports development and delivery of metrics to Patrol Senior Management and PTA Staff. The Training Records Technician also acts as a member of the PTA Facility Emergency Response Organization; acting in the capacity of Building Warden and Facility Access Coordinator (controlled keys and passcodes). Additional responsibilities of the position include:



  • Perform quality control of submitted data records.

  • Convert training rosters to compliant record status

  • Track and trend training metrics such as qualifications and Hanford Patrol Mission Essential Task List (HPMETL)

  • Maintain Records Identification and Destruction Schedules (RIDS)

  • Evaluate and provide recommendations to Patrol Management on improving PTA Records Management System

  • Respond to audit requests and troubleshoot records issues

  • Act as training records point of contact for Hanford Patrol

  • Perform liaison function between the PTA, Hammer Training Center, HMIS Central Training, DOE National Training Center

  • Convert legacy hard-copy records to electronic records by scanning and entry into the Integrated Document Management System (IDMS)

  • Train new PTA Instructor Staff on the creation of timely, accurate and compliant training records

  • Assist PTA Management in updating corrective action management and safety system applications to ensure compliance with suspense dates

  • Develop and present training metrics to PTA Staff

  • Satisfying Official Use Only (OUO) and Health Protection and Promotion Act (HPPA) data protection requirements

  • Compilation of training records and reports in support of management requests

  • Act as Building Warden for PTA Administration Buildings

  • Perform sensitive key issuance and accountability and cypher lock updates

  • Perform various duties as assigned e.g., support of VIP Tours, Basic Academy Tryouts, drills, exercises, etc.

Qualifications


Required Skills:



  • Associate' s degree with five years of related experience, or an equivalent combination of education and experience

  • Knowledgeable and proficient in the standards and practices of the National Archives and Records Administration (NARA)

  • Must have proficient knowledge of IDMS or other records systems, Microsoft Outlook, Access, Word, and Excel

  • Must be detailed-oriented, organized, possess excellent communication skills

  • Perform effectively as an independent contributor as well as within a team


Security Access Requirements:


Must be able to obtain and maintain an "L" Clearance. Any offer of employment is contingent on the applicant passing a background investigation. As part of the investigation, Federal investigators will examine many aspects of the applicant's past including financial and criminal histories, mental and emotional health, education and travel, drug and alcohol usage, personal and organizational relationships, as well as other aspects of the applicant's background.


Desirable Skills:



  • Familiarity with HMIS Learning Management System (LMS)

  • Experience with records management including the use of IDMS and preparation of RIDS

  • Familiarity with the HP METL Database

  • Proficient in HFACT's scheduling portal

  • Experience working with Adobe Acrobat
