POSITION SUMMARY 

 

Under general supervision, performs operational and administrative responsibilities in support of winery management and functional areas. Acts as back up for the Wine Tracking Coordinator Duties in their absence and assists with wine tracking during harvest. 

 

RESPONSIBILITIES 

General Administrative Functions 

·       Takes, transcribes, distributes and/or posts notes for designated meetings, i.e., management, organizational and safety.  Assembles and analyzes information. Type reports, agendas, correspondence and prepares PowerPoint presentations. 

·       Acts as back up for the Wine Tracking Coordinator utilizing AS400 wine tracking system.  Files 702 wine reporting files twice a year.  

·       Coordinate meeting arrangements, reserves meeting locations, rents equipment, sets up rooms/equipment and organizes meals/refreshments. 

·       Coordinates and creates the weekly communication slide show.  

·       Assists in the generation of Raise the Bar management reports on a bi-weekly basis.  

·       Manages the capital tracking system including filing and data entry pertaining to CIM’s, P.O. and spend tracking utilizing internal Capital Tracking Sheet.  Works with finance in monthly reconciliation of capital expenses.  

·       Receives purchase orders in JD Edwards for capital and indirect purchases. 

·       Assembles and inputs KPI information into data tracking sheet for all utilities and solid waste.  

·       Assists in the coordination of on-boarding interns during harvest including housing-sourcing, and transportation to appointments.  

·       Responsible for retrieving and distributing mail from mailbox and P.O. Box in Healdsburg.   

·       Acts as the point person for paycheck distribution to managers.   

·       Acts as coordinator for the Business Unit Team.  

·       Special projects and other responsibilities as assigned. 

 

Communications 

·       Coordinate event schedule for winemaking and production team to ensure key staff are in attendance at winery events.  

·       Update winery phone lists. 

·       Maintain the backup files for Simi’s server.  

 

Supplies and Maintenance  

·       Order office supplies for production; work with internal contacts to support strategic sourcing initiative; work with local and external suppliers on competitive pricing issues. 

·       Coordinate all service, maintenance for company business machines i.e.: copier, fax machines, toner replacements, etc.  Has the direct authority to call in technical support for office equipment maintenance. 

·       Assist in ordering break room supplies as needed. 

·       Responsible for mail supplies, organization, and equipment maintenance including purchasing stamps and ordering stationery supplies.  

·       Has the direct authority to purchase office supplies, within budget parameters. 

 

Safety 

·       Maintains safety records for incidents, accidents, training, and monthly inspections in Intelex.  Also maintains the safety matrix in Excel for management’s quick reference. 

·       Responsible for keeping all Safety Committee minutes up-to-date and distributing them monthly. 

·       Assist with Safety meetings agendas, reports, and schedules as requested. 

·       Responsible for maintaining safety training and inspection files.  

·       Maintains safety records for incidents, accidents, training, and monthly inspections in Intelex. 

·       Also maintains the safety matrix in Excel for managements quick reference 

 

Shipping and Receiving  

·       Assist production with shipping and tracking items for UPS and FED EX.   

·       Notify and/or deliver packages to winery staff upon arrival. 

Employee Services 

·       Assist with employee event activities as requested including coordination of weekly harvest and post-harvest meals/functions at winery and/or off-site locations; coordination of employee gifts for service awards, holiday parties, etc.  

·       Act as Wellness Coordinator.  Communicate to all winery staff regarding corporate programs for good health. Coordinate internal challenges and assist in health events.  Participate in scheduled calls with other Wellness Champions within the Company. 

 

 

QUALIFICATIONS 

·       High School Diploma/GED 

·       Minimum two years of experience 

·       Highly proficient in MS Word, Excel, and PowerPoint 

 

PHYSICAL REQUIREMENTS / OTHER 

·       Must be able sit and/or stand for long periods of time, and work on a computer for extended periods.   

·       Ability to lift up to 40 lbs. occasionally 

·       Climb stairs frequently 

·       Must have a valid driver’s license 

·       Must be at least 18 years of age.
