Associate, Workplace

In this role, your main missions are:

  • Support procurement needs in both Workplace and Human Resources, overseeing various US contracts in partnership with the Sr. Director, Workplace

  • Act as a liaison between Human Resources and Workplace to drive knowledge sharing and collaboration

  • Interfaces with internal/external stakeholders on behalf of Sr. Director

  • Relies on experience, judgement, analysis, and wisdom to provide direction that keeps projects in motion

  • Responsible for rigorous review of all incoming contracts, work orders, and purchase agreements

  • Preparation and oversight of department contracts, to include bid-summaries, memos, and contract execution

  • Regularly audit contracts to identify efficiency and cost saving opportunities, takes initiative to prepare and present solutions that provide equitable solutions for the organization

  • Supports budget/forecasting, to include the collection of statements, invoices, and contracts necessary to support an accurate budget/forecast

  • Works with finance to collect Profit and Loss statements to review expenses regularly with the Workplace group

  • Maintain adherence to Workplace Policies & Procedures, including the development of additional policies relevant to the department

  • Provide support to Manager, Workplace when needed, act as a point of contact during Time Away periods

  • Support team building and promote a productive work environment

  • Support onsite events and coordination in partnership with Manager, Workplace – Los Angeles

  • Provide in-person support and coverage as needed at the Los Angeles Office

What we are looking for

You. . .

  • BA or BS degree or equivalent experience

  • 5 years’ prior experience in Workplace, office services or similar

  • Ability to support multiple competing priorities

  • Excellent communication skills - verbal and written.

  • Ability to adapt quickly to new priorities and work to strict deadlines in a fast-paced environment

  • Respect sensitivity both internally and with external stakeholders
