BGIS is currently seeking a Facilities Services Coordinator to join the team in Albuquerque, NM .

PURPOSE STATEMENT: The Facilities Services Coordinator is responsible for ensuring quality control targets and service level agreements are met within their respective designated contract regions. This position will lead/direct vendor projects and assist in day-to-day operational issues as required by the BGIS Facilities Site Manager.



RESPONSIBILITIES



  • Responsible for receiving service requests and accurately capturing and prioritizing all client requirements; all service requests are tracked throughout their entire life cycle to measure service delivery

  • Learn and utilize client software/tools to track and update service requests and Work Orders

  • Provide operational support to Facilities Site Manager with regards to operation center concerns/issues, which assists in timely resolution and improving customer and team satisfaction ratings; remain up to date on systems within the operation center

  • Measure service levels and work order life cycles for service requests within their site and escalate any service delivery issues to the Facilities Site Manager

  • Ensure delivery of services meet the requirements set out in the contract and comply with the quality assurance program, BGIS policies, and standard operating procedures

  • Responsible for highlighting and following up with the Operation Centre Team Lead on any issues raised within the day-to-day operations

  • Supports Facilities Site Manager with external vendor projects; ensuring the right/correct documents are accurately filled out, reviewed, and approved by the appropriate reviewer/approver prior to the job/project start date

  • Manage installation jobs/projects across multiple locations on Campus and facilitate the end-to-end workflow management of the job/project

  • Primary responsibility for aspects of these jobs/projects which includes confirming the scope of work with Customers and Service Providers, tracking progress utilizing Work Order Systems, running various reports, addressing issues as they arise, and communicating promptly with all Stakeholders to keep the jobs/projects moving forward

  • Coach and support External Vendor Teams; assist with managing their team and ensuring they receive all required training

  • Audit daily work duties to ensure completion of team responsibilities

  • Collaborates directly with peers, Client Stakeholders, and Service Providers to help ensure the delivery of the desired experience.

  • Occasionally assist other Facility Operations teams with Work Order tracking

  • Other duties as assigned


REQUIRED EDUCATION, KNOWLEDGE and ABILITIES



  • Up to 2 years of applicable experience

  • Demonstrates language proficiency (both verbal and written), including proper grammar, spelling and punctuation. Clear and effective communication skills

  • Basic understanding of the facilities/property management industry and knowledge of facility operations and maintenance, an asset.

  • Strong customer-service orientation and demonstrated customer service skills.

  • Demonstrated ability to learn new processes, tools, and other relevant information quickly, with proven ability to apply learning to the job.

  • Ability to work in a fast-paced, multi-client environment with ability to apply various client-specific business processes to individual service request situations.

  • Demonstrated ability to gather information, accurately assess issues and assign level of priority; effective probing and problem-solving skills.

  • Demonstrated organizational skills.

  • Ability to sustain concentration over a prolonged period of time and pay attention to details.

  • Demonstrated computer proficiency including solid keyboarding skills, experience in managing budgets, scheduling, proficient in Microsoft software.

  • Demonstrated personal leadership attributes incorporating a commitment to ongoing development and continuous learning.

  • Ability and willingness to travel.

  • Provide personal transportation for meetings and job visits away from the office; reimbursed.
