ACADEMIC COUNSELOR at University of Oklahoma in Norman, Oklahoma

Job Description:

Academic advisors help college students recognize and achieve their educational goals to be successful in today’s increasingly global environment. They work closely with professors and other university administrators and stay up-to-date on program changes.  Academic advising in the Mewbourne College of Earth and Energy (MCEE) is a developmental process which considers students’ academic needs, goals, interests and prior education. Academic advisors promote student success and increase student enrollment and retention by promoting and recruiting for programs, referring students at risk or in need of additional resources with the primary objective to assist with making informed decisions concerning their educational goals.

As an Academic Advisor in the Mewbourne College of Earth and Energy (MCEE), the primary responsibility is to advise students in MCEE. Counselors maintain electronic degree audit information for each assigned student to certify that all requirements and policies have been fulfilled to award degrees. In addition, counselors meet with students on contract throughout the semester for multiple meetings. Other duties include responding to inquiries about academic issues related to state regents, university, college and departmental policies, and interacting with faculty, staff and prospective students. May represent the college at recruiting events, graduation or university meetings.

Job Duties




    • Counsel and advise students and prospective students

    • Works closely with students on academic performance contracts (students on probation)

    • Builds trust and rapport with students so they have support to reach their academic and personal goals

    • Maintains student records

    • Monitors Academic progress towards degree completion

    • Graduation clearances

    • Retention management

    • Ensure compliance with regulatory requirements and university policies

    • Prepare reports, training materials, program documentation, directives and communications

    • Receives, screens and responds to student and parent academic inquiries verbally and in writing





    • Assists in the implementation of policies and procedures

    • Provides input for the development and revision of informational materials

    • Assist with organization of MCEE Earth Links

    • Represent the Mewbourne College of Earth and Energy by providing presentations at seminars, events, information sessions, conferences and meetings.

    • Assists with the organization and implementation of Fall and Spring Graduation ceremonies

    • Conduct workshops, seminars, classes and other special programs for students

    • Participates in related internal and external committees and meetings as required



Required Education: Bachelor Degree OR an equivalent combination of education/job related experience, AND:


  • 18 - 36 months of experience working in Academic Advising / Student Services

Skills:


  • Strong interpersonal, written, and verbal communication skills.  Ability to communicate effectively via email and telephone. 

  • Demonstrated commitment to service excellence

  • Ability to establish and sustain positive working relationships with all levels of staff – administrators, faculty, staff, and student employees – within the MCEE and university.

  • Strong organizational, project, and time management skills to lead and/or coordinate multiple projects.

  • Ability to set priorities for self and others, to meet deadlines, and complete tasks and projects on time, and work with minimal supervision.

  • Ability to perform detail-oriented tasks, analyze needs and develop action plans, and coordinate with appropriate personnel as required. 

  • Flexibility, creativity, and innovation coupled with an ability to take initiative and be self-directed.

  • Demonstrated technology proficiency and capabilities working with personal computers and software, the Web, social media, and learning library-relevant information technology applications.

Certifications:


  • Valid Drivers License

Advertised Physical Requirements:


  • Must be able to engage in repetitive motions including movements of the hands, wrists or fingers and communicate including expressing oneself or exchanging information with others effectively.

Departmental Preferences:


  • Master's degree.

  • Experience working at OU in an academic unit.
